We are seeking a highly motivated and organized Administrative Support Specialist to join our team at Spectrum Solutions. As an Office Coordinator, you will play a vital role in ensuring the smooth operation of our office environment.

Key Responsibilities:

  • Compliance and Risk Management: Maintain up-to-date Occupational Health & Safety documents, including policies and procedures, and communicate changes to all stakeholders.
  • Training and Development: Plan and conduct relevant OHS training sessions to ensure employees are equipped with the necessary knowledge and skills.
  • Supervisor Support: Monitor and ensure that supervisors fulfill their OHS duties, including tracking the success rate of training programs.
  • Meetings and Inspections: Schedule and organize ASA meetings, including on-site inspections, to ensure compliance with company policies.
  • Policy Management: Keep GA policies and procedures up-to-date, including Security, ISO, and Emergency protocols, and monitor their effectiveness.
  • Process Optimization: Identify opportunities to improve shipping processes and act as a deputy for the shipping clerk as needed.
  • Food and Beverage Services: Serve as the primary point of contact for all Food & Beverage topics, including lunch subsidies.
  • Event Planning: Organize company events to foster a positive and inclusive work environment.

Requirements:

  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Minimum 2 years of experience in an administrative support role.
  • Excellent communication and organizational skills.
  • Ability to work independently and as part of a team.
  • Proficiency in Microsoft Office and other productivity software.
