Job Summary

The Staffing Coordinator plays a vital role in ensuring the efficient operation of the MWHC Staffing Office. This position is responsible for developing and maintaining accurate staffing schedules, identifying potential staffing issues, and resolving them in a timely manner. The Staffing Coordinator will also perform timekeeping functions, including monitoring time and attendance, and assist with payroll submission activities.

Key Responsibilities:

  • Develop and maintain accurate staffing schedules to meet the needs of the healthcare system.
  • Identify and resolve potential staffing issues, ensuring that patient care needs are met.
  • Perform timekeeping functions, including monitoring time and attendance, and assist with payroll submission activities.
  • Collaborate with Hub C3 and Unit C3s to ensure that staffing needs are met and that patient care is not compromised.
  • Fill vacancies related to associate call-outs and ensure that staffing levels are maintained across the healthcare system.
  • Assess opportunities to reassign staff from over-staffed units to under-staffed units, notifying the Unit C3 prior to calling off staff.
  • Determine staffing office associate assignments for each shift, communicating based on hospital guidelines.
  • Assist in training new associates during the department's orientation process, including badge activation, scheduling, staffing policies, and payroll.
  • Develop and maintain schedules for the Staffing Office.
  • Review future departmental schedules to ensure shifts are balanced appropriately and communicate review findings to the appropriate manager.
  • Identify and plan for additional staffing resource support for units with associates on extended leave.
  • Conduct daily maintenance of staffing assignments in API software for staffing office associates.
  • Monitor and track badging errors and tardiness compliance with Mary Washington Healthcare policy on time and attendance for Staffing Office associates.

Qualifications:

Required:

  • High school graduate or equivalent.
  • Minimum of 2 years administrative healthcare experience.
  • Basic computer/word processing skills.
  • Able to work independently, managing time, multiple priorities, and resources to achieve goals.
  • Able to articulate information and ideas clearly through both written and verbal communication.
  • Able to organize, execute detailed plans, and problem-solve when necessary to meet scheduling needs.

Preferred:

  • Scheduling and staffing experience.
  • Knowledge and experience with Time/Attendance and Staffing application(s).
