At California State University, we are committed to providing high-quality services that complement our instructional program. As a Project Coordinator/ExMILE, you will play a critical role in supporting our educational mission by working on projects related to bilingual authorization.

About the Position:

  • This is a temporary, non-exempt, full-time position with benefits through 9/30/2025.
  • The salary for this position is approximately $41,797.92 per year or $3,466.60 per month.
  • You will work 40 hours per week, typically Monday-Friday from 8:00AM to 5:00PM, with some nights and weekend work required.

Responsibilities and Requirements:

  • Under minimal supervision, you will work independently to coordinate and manage daily operations of the ExMILE project.
  • You will organize and maintain project documentation, ensuring accurate and up-to-date records.
  • Payment processing and invoicing will be your responsibility.
  • You will ensure timely and accurate submission of financial documents to relevant departments.
  • Collaborating with the finance department to track project expenses is essential.
  • You will order and maintain inventory of necessary supplies and materials for the project.
  • Preparation and submission of requisition forms for office supplies, equipment, and other resources will also be part of your duties.
  • Monitoring supply usage and budget, ensuring cost-effective procurement, is crucial.
  • Serving as a point of contact for students, faculty, and staff members involved in the project is an important aspect of this role.
  • You will coordinate communication between project team members, including scheduling and organizing meetings, and LEAS and preferential partners.
  • Developing and maintaining mailing lists and distributing project-related information will also be part of your responsibilities.
  • Planning, scheduling, and coordinating meetings, workshops, and training sessions for the project will require strong organizational skills.
  • Taking meeting minutes, distributing them to stakeholders, and following up on action items will be essential.
  • Assisting in organizing and identifying training needs for staff members, enrolling them in necessary professional development programs, and tracking their completion of required training sessions are all key aspects of this role.
  • You will assist on travel documentation for faculty in the program.
  • Monitoring the progress of project deliverables and maintaining tracking systems will also be your responsibility.
  • Preparing project progress reports for stakeholders and funders will be an important part of this role.
  • Identifying and addressing potential issues or delays in project timelines is crucial.
  • Collecting and organizing data from participants for evaluation and research purposes will require close collaboration with the PI.
  • Providing logistical support for special events, workshops, or conferences related to the project will be part of your duties.
  • Assisting with the creation of project materials such as brochures, flyers, and reports will also be essential.
  • Ongoing communication and coordination with project team members, faculty, and staff will be crucial.
  • Financial management knowledge is a plus but not required.
  • You will work closely with the GIA and LEA partners in exchanging and organizing documentation.

Requirements:

  • Education: Enrolled in the last semesters of a Bachelor's degree in education, business administration, project management, or a related field.
  • Experience: Prior experience in project coordination, administration, or a related role.
  • Bilingual and biliterate in Spanish.
  • Knowledgeable of the Bilingual Authorization program at the Watson College of Education.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
  • Ability to work independently and in a team setting.
  • Attention to detail and ability to multitask.
  • Basic financial management knowledge is a plus.
