Job Overview

We are seeking a highly organized and detail-oriented Executive Support Specialist to join our team at Mark Rink. As an Executive Support Specialist, you will play a vital role in ensuring the smooth day-to-day operations of our office.

Compensation

The estimated salary for this position is $45,000 - $60,000 per year, depending on experience.

About the Role

This is a full-time opportunity that requires excellent communication skills, strong organizational abilities, and the capacity to handle multiple tasks simultaneously. The ideal candidate will have a high school diploma or equivalent, with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Responsibilities
  • Administrative Support: Provide general administrative support to senior staff and management, including scheduling meetings, preparing documents, and handling correspondence.
  • Calendar Management: Organize and maintain calendars for senior staff, ensuring all appointments and meetings are scheduled efficiently.
  • File Management: Maintain both physical and digital files, ensuring proper filing, retrieval, and confidentiality of sensitive information.
  • Communication: Answer and direct phone calls, emails, and other communications, ensuring timely responses and effective communication with clients, vendors, and internal teams.
  • Office Coordination: Oversee office supplies, inventory, and equipment, making necessary orders and ensuring the office is stocked and operational.
  • Customer Service: Greet visitors and clients, offering a positive and professional experience.
  • Project Assistance: Assist with ongoing projects by conducting research, preparing documents, and coordinating activities as needed.
Requirements
  • Education: High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), strong organizational skills, attention to detail, ability to handle sensitive and confidential information, excellent written and verbal communication skills, time management and multitasking ability.
