Job Overview

TP Mechanical Contractors is seeking an experienced Project Administrator to oversee the daily functions of our Service HVAC and Plumbing projects. This role ensures deadlines and compliance requirements are met, working closely with Project Managers and service teams for project execution.

We offer a competitive salary of $65,000 - $80,000 annually, commensurate with experience.

Key Responsibilities
  • Setup new projects in various systems based on information provided by sales teams or Project Managers.
  • Perform daily/weekly payroll reviews for plumbing technicians.
  • Act as backup to service dispatchers, answering phones, issuing purchase orders, and conducting daily/weekly payroll reviews for all technicians.
  • Attend weekly meetings with Project Managers to review job status updates.
  • Collaborate with construction teams on AIA documentation required for project compliance.
  • Submit certified payroll documents to contractors weekly, as needed.
  • Meet monthly with management teams to review project status, billings, and revenue recognition.
  • Ensure timely execution and implementation of project aspects.
  • Monitor and report on project progress to the team.
  • Minimize exposure and risk by identifying project issues proactively.
  • Formulate and implement corrective actions when necessary.
  • Maintain complete, current, and stored project documents appropriately.
  • Manage and resolve vendor and customer issues as they arise.
Requirements and Qualifications

This role requires 2 years of prior accounting experience, prior job cost knowledge, and proficiency in Windows-based software (Excel, Word, Outlook) and Internet Explorer.

  • Able to financially analyze projects for billing and margin underages and overages.
  • Strong analytical, organizational, communication, problem-solving, and decision-making skills.
  • Ability to function well in high-intensity, constantly changing environments.
  • Contribution as part of a team.
  • Ability to multitask and prioritize tasks to meet deadlines as needed.
  • Excellent math ability.
  • Proficient with 10-key calculators.
  • Detail-oriented.
  • Strong organizational skills.
  • Excellent verbal and written communication skills.
  • Ability to handle large volumes of work.
