Service Coordinator Job Description

Cleveland Brothers, the largest Cat dealer in Pennsylvania, northern West Virginia and western Maryland, has an immediate opportunity for a Service Coordinator. This role is a key part of our team, providing support services to employees, managers, and customers at our Erie shop.

Key Responsibilities:
  • Documentation and Supplies: Ensure the efficient flow of documentation and supplies from various sources.
  • Time Management: Enter time into Time Collection System and prepare and process required paperwork.
  • Material Distribution: Order and distribute materials for shop personnel.
  • Research and Record Keeping: Research literature, verify, record, maintain, and submit specific service shop records.
  • Substitution and Support: Substitute for other positions and other functions as assigned by necessity.
Primary Responsibilities:
  • Customer Service: Greet and assist customers in person or over the telephone to answer questions related to parts, equipment, rebuilt items, or repairs and scheduling.
  • Time Collection and Paperwork: Enter personnel time into time collection system and generate all required paperwork.
  • Job Status Updates: Advise concerned parties on the status of jobs.
  • Work Order Generation: Generate internal, monthly, master, and sub work orders as well as purchase orders for repairs on all equipment of the various product lines.
  • Part Research and Ordering: Research part numbers from data base, and computer inventory records, and order parts by computer for repairs from either inside or outside the Company and oversee distribution.
  • Record Keeping and Reporting: Maintain up-to-date files of product catalogues and technical data, keep logs of repairs performed, customer calls, and parts required, and compile reports on service employees hours, repair time on customer equipment, and machine history.
  • Warranty Claims and Credit: Initiate warranty claims and credit unused or defective parts against work orders.
  • Scheduling and Coordination: Schedule repair work in absence of supervision and coordinate record keeping with sales and administrative personnel.
  • Payment and Credit: Receive payments and credit to work order when completed.
Requirements:
  • Clerical Experience: Clerical experience in a service shop demonstrating increased responsibility and having significant exposure to the fundamentals of engines and electrical systems, or an equivalent combination of training and experience acceptable to Company.
  • Communication Skills: Strong communication skills for dealing with customers and fellow employees.
