Job Description:

We are seeking an experienced Corporate Office Manager to join our team in Atlanta, GA. As a key member of our project team, you will be responsible for providing administrative support and ensuring the smooth operation of our offices.

Responsibilities:

  • Assist and provide support to all office employees to ensure they have the necessary resources and supplies to fulfill their roles effectively.
  • Support the FAST Project Managers with administrative and project-related tasks, including scheduling meetings, taking meeting notes, and compiling meeting minutes.
  • Provide additional support to team members as needed, including completing miscellaneous tasks such as developing testing/training materials and printing/collating project documents.
  • Manage vendor relationships by completing payments in a timely manner, coordinating event logistics, and communicating any event changes.
  • Assist with new hires' relocation by providing housing suggestions, assisting with residency permits, granting access requests, and onboarding based on project guidelines and procedures.
  • Set up and maintain information filing systems.
  • Track local accounts payable/receivable information and liaise with HQ.

Office Management:

  • Monitor inventory and order supplies for all three offices accordingly.
  • Organize office supplies/items and maintain general cleanliness in common spaces throughout the office.
  • Maintain and update the office phone list.

Mail and Shipping:

  • Handle general mail pick up and drop off by ensuring labels are prepared correctly.
  • Prepare FedEx shipments and arrange for pick up or drop off, including maintaining the FedEx mailing materials on site.
  • Open and distribute incoming mail and emails to coordinate the flow of information internally and externally (as needed).

Special Events and Activities:

  • Coordinate and facilitate social outings and lunches as needed, including providing accurate directions to team members if the event is off-site.
  • Coordinate community service and volunteer opportunities and communicate said opportunities to the project site members.

Qualifications:

  • A completed bachelor's degree in business/public administration, finance/accounting, management, education, social science, or other field related to office management and administration.
  • Equivalent experience will be accepted in place of the required degree.
  • Microsoft Office Suite.
  • Strong organizational skills.
  • Excellent written and verbal communication.
  • Ability to multi-task.

Salary: $50,000 - $55,000 per year.
