We are seeking a highly skilled Administrative Support Specialist to join our team in Palo Alto. This is an exciting opportunity to work with a prestigious law firm, providing administrative support to partners, counsel, associates, and staff attorneys.

About the Role

This position will be based in our Palo Alto office and will provide assistance with various administrative tasks, including answering phone calls, managing emails, maintaining files and records, and preparing expense reports. The ideal candidate will have excellent organizational skills, be able to multitask, and possess strong communication and interpersonal skills.

Key Responsibilities
  • Provide administrative support to partners, counsel, associates, and staff attorneys
  • Manage email accounts, draft and send correspondence, and maintain organized email folders
  • Maintain files, records, and attorney calendars
  • Prepare expense reports and process vendor invoices
  • Anticipate attorney needs by proactively identifying potential issues and conflicts
  • Assist with document preparation, processing, and quality control
  • Collaborate with Client Accounting to ensure accurate client billing
  • Utilize software applications such as Excel and PowerPoint to facilitate attorneys' work
Requirements

To be successful in this role, you will need:

  • A high school diploma or equivalent
  • Minimum of three years of experience in an office environment or an equivalent combination of education and experience
  • Knowledge of relevant firm computer software programs (e.g., Word, Outlook, Excel, PowerPoint)
  • Demonstrated ability to handle multiple projects and shifting priorities
  • Excellent communication and interpersonal skills
  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs
Salary Details

The starting base salary for this position is estimated to be within the range of $95,000 to $110,000, depending on skills, experience, and other job-related factors.
