Job Summary

We are seeking a highly organized and detail-oriented individual to support the mission of the CNS First-Year Advising Center. As an Administrative Coordinator, you will play a critical role in coordinating all advising activity, managing the advising calendar, and maintaining the day-to-day operations of the Advising Center.

Key Responsibilities
  • Act as the primary reception for the First-Year Advising Center, providing guidance to students and directing them to the appropriate resources.
  • Coordinate and track all advising activity, including scheduling student advising appointments and meetings.
  • Maintain a clean and professional reception area and provide excellent customer service to all visitors.
  • Provide administrative support to the First-Year Advising Team, Assistant and Associate Deans.
  • Represent CNS to the public, responding to inquiries from parents and prospective students.
  • Edit, maintain, and update the CNS First-Year Advising Center website.
  • Provide clerical support for the CNS first-year advising team and CNS undergraduate student success programs.
  • Track advising caseloads, assign advisors in SPIRE, and handle advising hold removal as needed.
  • Maintain appointment calendars of team advisors and ensure that students meeting with advisors are assigned to an appropriate advisor.
  • Serve as liaison to the Office of Student Success for the maintenance of the Navigate platform.
  • Use 25Live platform to schedule rooms for non-course uses.
  • Hire, train, and supervise CNS First-Year Advising student support staff.
  • Support the organization of special CNS First-Year Advising events.
  • Support the searches and search committees for hiring new advising staff.
  • Prepare SPIRE and Navigate queries and use these queries to create lists of service indicator/holds.
  • Contribute to the college-level graduation clearance process.
  • Answer the CNS Student Success email account and provide administrative support around petitions and forms.
  • Train in Marketing Cloud to provide emails to select CNS student populations.
  • Support the function of the CNS Student Success Center.
Requirements
  • High School diploma and two (2) years of administrative experience or related higher education experience.
  • Strong typing/word processing skills, including a knowledge of proper grammatical rules, spelling, punctuation, good attention to detail, and careful proofing.
  • Comfort with software programs such as Word and Excel.
  • Comfort with cloud content management and file sharing services such as Teams, Box, and Google Apps.
Preferred Qualifications
  • Knowledge of university policies and practice.
  • Advanced abilities using Microsoft Office or other software platforms.
  • Ability to organize and set priorities.
  • Demonstrated ability to work with minimal supervision and follow through on assignments.
