SourcePro Search is conducting a search for an Office Administrator to support a large national law firm in New York.

The ideal candidate will oversee the overall operations of the office, including financial planning and controls, billing and collections, personnel administration, office morale, systems, and physical facilities.

This role involves working with partners and national departments to plan for the changing needs of the organization and contributing to cost-effective management throughout the organization.

The Office Administrator will be responsible for coordinating across offices and/or practices, ensuring seamless client service and responsive support.

Human Resources:

Responsibilities include recruiting, onboarding, training, and development, performance evaluation, salary administration, employee relations, motivation, disciplining, discharging, benefits administration, workers' compensation, personnel data systems, job design, resource allocation, and other human resource management functions for the legal and support staff.

Addressing office morale issues to promote a positive and efficient work environment is also a key aspect of this role.
Financial Management:
Preparation of annual budgets, variance analysis, profitability analysis, and other relevant analysis is required. The Office Administrator will also be responsible for monitoring expenses and revenues, as well as overseeing and addressing billing and collections.
Systems Management:

Collaboration with local and national IT staff to ensure the information technology needs of lawyers and staff are met is essential. This includes coordinating IT training for new staff and skills maintenance for existing staff, as well as monitoring equipment usage for inappropriate use.

Ensuring the implementation of the Firm's national technology standards, policies, and procedures at the local office level is also a critical responsibility.
Facilities Management:

Responsibilities include managing the physical space, including space planning, office relocation, lease negotiation, mail, reprographics, reception, and food services. The Office Administrator will also serve as a liaison with the landlord and contractors, ensuring the effectiveness of office security programs and disaster preparedness efforts.


Strategic Leadership:

Providing overall strategic and tactical leadership to ensure all office functions and personnel are aligned in providing seamless client service and responsive support is a key aspect of this role.

Developing strong, helpful, and healthy relationships with attorneys and staff in the office, other Office Administrators, and national staff is also essential.

Graduation from a recognized college or university with major coursework in business administration, management, finance, human resources, technology, or marketing is preferred. However, individuals with comparable work experience will be considered.

Experience in a law firm, corporate legal department, or comparable service industry is also required. Knowledge of legal or other professional service organizations and experience managing business operations such as human resources, facilities, finance, and marketing is essential. The ability to identify and analyze complex issues and problems in human resources, financial management, facilities, technology, and general operations is also crucial. Finally, the ability to manage office functions professionally, economically, and efficiently is a must.
