About the Role

This is a unique opportunity to join Hallmark University as a Corporate Receptionist - Customer Service Specialist.

Job Description:

We are seeking a highly skilled and experienced professional to provide exceptional customer service and administrative support to our students, faculty, and staff. The ideal candidate will be responsible for managing incoming inquiries, directing calls, and maintaining accurate records.

Main Responsibilities:
  • Answer phone calls in a timely manner and direct them to the appropriate departments.
  • Greet and direct visitors to their destinations.
  • Maintain security by following procedures and monitoring the logbook.
  • Manage and distribute new incoming inquiries efficiently.
  • Enter new inquiry information into Salesforce CRM accurately.
  • Reconcile NI Board and Enrollment Team daily reports to ensure accurate Admissions conversion reporting.
  • Update student school statuses as needed.
  • Manage University voicemail effectively.
  • Collect and track new inquiry information from incoming calls or walk-ins.
  • Label and sort incoming and outgoing mail and faxes accordingly.
  • Maintain Postage meter and reporting accurately.
  • Assist with check-in and preparation of new incoming students attending Orientation and events.
  • Provide primary contact for all incoming Website live chats.
  • Actively participate in the Student Mentor program.
  • Offer backup coverage to the Assessment Center during lunch hours and absences of the primary administrator.
Additional Responsibilities:
  • Prepare new student folders.
  • Distribute University voicemail to relevant departments.
  • Manage University paging system effectively.
  • Prepare overnight packages for mailouts.
  • Track and manage incoming packages from carriers.
  • Provide administrative assistance to various departments as needed.
Professional Activities:
  • Pursue Continued Education, Certifications, Knowledge Base training, and skill sets enhancements.
  • Participate in the Hallmark Character Program.
Qualifications and Requirements:
  • High School Diploma/GED.
  • Able to work in a fast-paced environment and handle multiple tasks simultaneously.
  • Minimum one year of customer service or inbound call experience.
Estimated Salary: $35,000 - $45,000 per annum
