Job Summary

The Executive Assistant provides administrative support to the Chief Executive Officer and Chief Financial Officer. This role requires an utmost professional with exceptional organizational and communication skills to handle top-level data, decisions, and conversations with integrity, sensitivity, and confidentiality.

Key Responsibilities
  • Provide comprehensive administrative support to the CEO and CFO, including organizing and coordinating meetings, preparing agendas, and taking minutes.
  • Arrange and coordinate travel plans, manage expense reports, and maintain office supplies and equipment.
  • Organize and create record retention structures for executives, ensuring accurate records and simple solutions for retrieving past files and documents.
  • Seek opportunities to create efficiencies and streamline the executives' workloads, including proactively taking responsibility for administrative work.
  • Build and maintain positive relationships with internal and external stakeholders, while maintaining a professional barrier to protect the office of the executives.
  • Handle sensitive information and matters with the utmost discretion and maintain confidentiality at all times.
  • Assist with special projects and initiatives, as needed, including research, data analysis, and report and deck preparation.
Requirements
  • Minimum of 3 years of experience as an Executive Assistant or equivalent role.
  • Associates or bachelor's degree in business administration or a related field, preferred.
  • Advanced Microsoft Office Suite skills, including Excel and PowerPoint, or equivalent.
