Administrative Assistant

This position serves as the receptionist for the South District Administration Building, overseeing the Adopt-A-Highway Program for Sussex County. The role also provides administrative support to the Maintenance Contracts Section and the parts room, requiring flexibility to work overtime as needed, during storm events, and other emergency situations.
Key Responsibilities- Apply agency laws, rules, regulations, policies, and procedures in maintaining and processing agency information.
- Create official agency word processing documents, databases, spreadsheets, and presentations using software packages.
- Serve as a liaison with the public, clients, agency staff, and others to exchange information and explain agency services, laws, rules, regulations, policies, and procedures.
- Assure effective coordination of operational functions, establish tracking and monitoring systems, and conduct follow-up to ensure effective resolution of matters.
- Obtain, organize, and draft technical and administrative material necessary for public information or departmental use.
- Collect and compile data to prepare reports and provide supporting documentation.
- Analyze routine operating practices and procedures, making recommendations to ensure smooth and efficient office operation.
- Maintain and control data and/or filing systems to ensure effective, accurate, and easily retrievable documentation of operations, program, and project activities.
- May oversee or supervise lower-level employees.
- Six months' experience in coordinating office activities, such as planning and coordinating meetings, tracking workflow, composing meeting notes, directing clients/customers, explaining services to the public, and establishing or maintaining filing/record systems.
- Six months' experience in document processing, including reviewing and evaluating records for completeness and conformity with laws, rules, regulations, standards, policies, and procedures, resolving deficiencies, interpreting information, and tracking and monitoring activities.
- Six months' experience in using standard computer software programs for word processing, spreadsheets, or databases.
- Six months' experience in using an automated information system to enter, update, modify, delete, retrieve/inquire, and report on data.
