Job Summary

We are seeking an experienced Executive Assistant and Operations Coordinator to join our team at Allium Financial Advisors, LLC. This is a unique opportunity to work in a dynamic environment where you will be responsible for providing administrative support to our operations team.

About the Role

The successful candidate will have a proactive approach and be capable of independently overseeing diverse tasks and demands. They will be responsible for managing the firm calendar, including the conference room and den calendars, as well as managing incoming and outgoing mail.

This role requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced office environment. The ideal candidate will have experience working in an administrative role and be able to provide exceptional customer service to clients and colleagues.

Key Responsibilities
  • Provide administrative support to the operations team, including answering phone calls, greeting clients and visitors, and assisting with events and meetings.
  • Manage the firm calendar, including scheduling appointments and meetings, and ensuring that all necessary materials are prepared.
  • Manage incoming and outgoing mail, including scheduling deliveries and pickups.
  • Order and maintain office supplies and equipment.
  • Manage relationships with external vendors and suppliers.
  • Perform other duties as assigned by the operations manager.
Requirements
  • Bachelor's degree or equivalent experience.
  • At least 3 years of experience in an administrative role, preferably in a financial services company.
  • Excellent organizational and communication skills.
  • Able to work in a fast-paced office environment and prioritize multiple tasks.
  • High level of accuracy and attention to detail.
  • Ability to establish and maintain positive relationships with colleagues, clients, and stakeholders.
