Job Summary

The Physician Recruitment Coordinator plays a vital role in the growth of the UT Health East Texas system by supporting the in-house physician recruiter with the logistics of the recruitment process. This includes assisting with candidate inquiries, profiling positions, and developing practice opportunity descriptions. The ideal candidate will have excellent communication and interpersonal skills, with the ability to work effectively with internal and external clients.

Main Responsibilities

• Develop and maintain a working knowledge of the health system and regional communities to assist with candidate inquiries.
• Work with the in-house physician recruiter to profile positions and develop practice opportunity descriptions, attending Physician Recruitment Committee meetings as needed.
• Maintain a current list of position openings and provide monthly updates or as needed by the system, as well as a weekly status list of all candidates on active searches.
• Assist the in-house physician recruiter with the candidate interview process, including telephone coordination and confirmation with both the candidate and the client.
• Assemble and distribute all collateral materials for physician recruitment.
• Assist with the facilitation of the site visit for the physician candidate and spouse/significant other, including making arrangements for travel, lodging, meals, and welcome gifts, developing itineraries, and providing transportation as needed.
• Develop and maintain an effective working knowledge of local physician employment agreements, employment process, offer packages, compensation, and benefits to answer candidate questions as needed.
• Establish high reach work objectives, personally track and report on performance.
• Provide input into the physician recruitment budget, managing costs effectively, auditing, and submitting expenses for approval and payment.
• Work with the in-house physician recruiter to assist the marketing, regional development, and physician recruitment teams to fully develop a high-impact local physician website, assisting in the design, order, stocking of physician recruitment literature, packets, and brochures as needed.
• Continually develop and improve upon processes, procedures, policies, and techniques to recruit physicians, maintaining up-to-date knowledge and compliance with federal and state fair employment laws and guidelines.
• Assist with the documentation needed for the completion of the credentialing process, as needed, including references, background checks, license verification, and other screening as needed.
• Assist with candidate reimbursement for incidental expenses incurred by the candidate or spouse.
• Assist with physician relocation as needed.
• Participate in other duties and responsibilities as assigned to recruit and retain physicians.

Required Knowledge, Skills, and Abilities

• Demonstrated marketing and public relations skills with the ability to communicate clearly and professionally to present practice opportunities in a positive manner.
• Excellent verbal and written communication skills, including superior grammar and proofreading skills.
• Excellent interpersonal skills with the ability to engage at all levels of the organization, demonstrating a professional and adaptable demeanor with internal and external clients, including administrators, physicians, peers, and support staff.
• Exhibit a high energy level and demonstrate the ability to work as a team, with flexibility in work habits to schedule and meet the needs of the medical staff.
• Proven track record of excellent customer service skills.
• Ability to multi-task, planning and prioritizing a large volume of detail-oriented work in accordance with changing deadlines.
• Ability to work with minimum supervision, set priorities, and follow through to accomplish results.
• Strong computer technology skills, including Microsoft Outlook, Word, Excel, and PowerPoint.
• Demonstrated ability to conduct internal research in an efficient and productive manner.
