Executive Event Coordinator for Luxury Arts Industry

As an Executive Event Coordinator at Sotheby's, you will play a pivotal role in planning and executing high-profile events that showcase our commitment to excellence in the art world. With approximately 75 events per year, including receptions, dinners, panel discussions, client development programs, tours, and boardroom masterclasses, this is an exceptional opportunity to leverage your expertise in event planning, marketing, and customer relations.

You will work closely with our marketing and specialist departments to develop strategic partnerships and programming that support sales, marketing, press, and partnerships initiatives. This may involve collaborating with museums, art fairs, and other cultural institutions to provide exclusive access and services for our ultra-high-net-worth clients.

Responsibilities include:

  • Developing and managing event concepts, from initial brainstorming to execution, ensuring seamless logistics and vendor management
  • Serving as a liaison between internal stakeholders, including facilities, security, operations, and creative services, to ensure successful event delivery
  • Liaising with various departments to formulate an elevated client experience, taking into account internal logistics and budgets
  • Overseeing onsite event execution, managing vendors and staff as needed, and ensuring timely resolution of any issues that may arise
  • Providing strategic direction for suppliers and internal partners to develop the look and feel for events, aligning with Sotheby's brand standards
  • Maintaining event budgets, facilitating payments, and supporting monthly expense reviews and forecasting
  • Managing a portfolio of programming for Sotheby's Preferred clients, including partnerships with cultural institutions and organizations

To excel in this role, you should possess:

  • A minimum of 2-4 years of event planning experience in a luxury or arts industry setting
  • A deep understanding of the arts and cultural sphere, enabling you to create experiences that resonate with ultra-high-net-worth clients
  • Excellent written and verbal communication skills, with the ability to diplomatically interact with colleagues, senior executives, and clients
  • A positive attitude, energetic, personable, and enthusiastic work demeanor
  • Highly organized, detail-oriented, and able to multitask and take initiative
  • Strong time management and prioritization skills, with flexibility to work nights and weekends as needed
  • Proficiency in Microsoft Excel, with the ability to manipulate data, and experience with Zkipster or similar event management tools is a plus
  • Catering or hospitality experience is also desirable

We offer a competitive salary range of $55,000-$60,000, with eligibility for a discretionary bonus and a comprehensive benefits package. Salary offers are based on a wide range of factors, including relevant skills, training, experience, education, and certifications obtained. Market and organizational factors are also considered.
