Guest Services Coordinator

We are seeking a highly skilled Guest Services Specialist to join our team at the University of Virginia. As a key member of our Hospitality and Support Services leadership team, you will play a critical role in developing strategies to improve workplace efficiency and sustain professional standards that contribute to an exceptional patient experience.
Key Responsibilities- Provide exceptional support to supervisors and front-line staff by responding to questions, issues, and patient/visitor concerns.
- Create a warm and inviting work environment by listening carefully and documenting important communications, and encouraging feedback from staff, patients, and visitors.
- Assume assigned administrative duties of the department and collaborate with team members to maintain standards for professionalism.
- Review the scheduling process and monitor daily adjustments to ensure quality service levels are maintained.
- Anticipate needs and recognize and assist in problem resolution.
- Develop, maintain, and help create accountability to ensure staff follow standard work for core processes.
- Identify staff training and development opportunities to increase knowledge, skills, and abilities.
- Participate in organizational quality improvement activities.
- Use project management experience to continuously improve in areas of focus.
- Assist the manager in the management of vendors to affect completion of required tasks and compliance with contract timeframes and deliverables.
- Provide effective coordination of departmental projects/operations.
- Work to improve the patient and family experience through metric tracking and reporting.
- Utilize current and develop new initiatives to ensure a high level of quality care is provided to all patients.
- Develop systems to monitor and improve patient/customer satisfaction.
- Bachelor's degree preferred; experience may be accepted in lieu of degree.
- 1 year of project management experience, 1 year of exposure to a hospital environment preferred, 5 years of customer service experience.
- No licensure required.
