Job Summary

We are seeking an experienced Administrative Assistant III to provide primary administrative support to our Divisional Vice President for Cardiac Rhythm Management in Austin, TX. This onsite role will involve coordinating tasks, managing calendars, preparing meeting materials, and interacting with key stakeholders.

Key Responsibilities:
  • Serve as Administrative Support to Divisional Vice President for Cardiac Rhythm Management in tasks including calendar management, expenses, travel management, ordering supplies and equipment, and meeting preparation.
  • Support CRM Commercial Leadership on goals and strategy through deck preparation, communication templates, town hall preparation, job description creation, and oversight of information cascade.
  • Attend leadership meetings to capture minutes; publish and track action items.
  • Maintain a thorough understanding of daily and future business needs to support Commercial Leadership direction.
  • Coordinate monthly Global metric slides and serve as meeting facilitator.
  • Support Austin facilities and leadership and represent site in daily meetings to provide management site updates.
  • Create Purchase Orders for supplies, services, and IT equipment.
  • Serve as delegate for expense and purchasing approvals.
  • Maintain organizational chart.
  • Support facility management with new hire needs, seating, equipment, and site access.
  • Coordinate office events and other on-site meetings.
  • Execute applicable Quality System processes and monitor accuracy of service provided.
Requirements:
  • High School Diploma.
  • Minimum 5 years' experience in an Administrative Assistant role supporting multiple executives.
  • Proven intermediate to advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
Salary Range:

$19.60 - $39.20 per hour (in specific locations, the pay range may vary from the range posted).
