The 48forty Solutions and Relogistics Services team is seeking an experienced Office Manager to join our dynamic operations workforce.

This key role plays a crucial part in ensuring the smooth functioning of our facility, adhering to all company policies, safety regulations, and maintaining effective communication with peers, managers, vendors, and customers under the direction of the Plant Manager.

As an Office Manager, you will be responsible for providing quality administrative functions, implementing administrative systems, procedures, and policies, monitoring administrative projects, and delivering exceptional customer service when interacting with customers, vendors, and other team members.

Key Responsibilities:
  • Customer Service: Respond promptly to customer inquiries, obtain and evaluate relevant information, handle product and service inquiries, resolve problems by clarifying the issue, determining the cause, expediting correction or adjustment, and following up to ensure resolution.
  • Account Management: Partner with management to set up and maintain customer and vendor accounts.
  • New Hire Process: Conduct new hire process including receiving applications and resumes, providing written offer letters, scheduling drug screens and interviews, screening employees through E-Verify, and completing all new hire paperwork according to company policy.
  • HR Administration: Maintain and audit personnel files, worker's compensation files, and I-9 binders in accordance with company policy, ensuring the security of confidential records.
  • Financial Management: Manage post-injury worker's compensation claims by completing documentation, scheduling physician appointments and drug screens, coordinating communications with the worker's compensation carrier, managing local A/P process by creating purchase orders, reviewing local A/P invoices, communicating with local vendors and Corporate Accounting, and managing local A/R process by ensuring timely and accurate invoicing of customers.
  • Operations Reporting: Complete daily, weekly, and monthly operations reporting, including payroll, production reporting, and shipping and receiving.
  • Clerical Duties: Perform general clerical duties such as mail sorting and processing, answering phones, maintaining company bulletin boards, and dispatching drivers.
  • Supply Management: Maintain office supplies, personal protective equipment (PPE), and first aid inventory by checking stock levels, anticipating needed supplies, placing and expediting orders, and verifying receipt of supplies.
Requirements:
  • Bachelor's degree or equivalent required; four-year college degree or 3-5 years relevant experience preferred.
  • Strong computer skills, particularly MS Office Suite, Excel, Word, PowerPoint, Outlook, and Internet.
  • Experience in workers' compensation, payroll, AP/AR, and employee benefits highly desired.
  • Minimum two years prior experience working in a customer service environment.
  • Exceptional customer service skills, excellent communication skills (written and verbal), ability to work within a team environment, independently prioritize tasks, manage demanding timelines, and work efficiently.
