Job Description

INS is seeking a highly motivated and results-driven Project Operations Specialist with 3-5 years of experience in managing complex projects within industrial networking and services. This role is pivotal in aligning project outcomes, enhancing project operational efficiency, and supporting services revenue growth. Ideal candidates excel in cross-functional collaboration, project management methodologies, process optimization, and reporting. Proven expertise in handling high-risk, multi-location projects, streamlining operations, optimizing inventory management, and improving communication across teams and clients is essential.

The position is responsible for managing inventory within the ERP system (NetSuite), to support the services department's logistics needs by tracking hardware usage, creating purchase orders, and ensuring data accuracy. They coordinate hardware-related projects with engineers, working with cross-functional teams to meet project timelines and manage dependencies. This role requires strong organizational skills to handle multiple projects, maintain quality, and document processes for improved team efficiency. Additionally, this position could provide support with shipping and receiving, manages vendor relationships to ensure timely deliveries, and communicates effectively across engineering projects and groups to keep everyone informed on project inventory statuses.

Location

INS HQ - Plano, TX office - Must live in Dallas-Fort Worth Metropolitan area or be willing to relocate. There is no relocation package for this position.

Qualifications
  • 3-5 years of ERP experience, ideally with NetSuite, managing inventory, creating purchase orders, and ensuring data accuracy.
  • Strong understanding of ERP workflows, inventory tracking, and project scheduling for efficient hardware management and the ability to navigate complex interfaces efficiently. Experience with NetSuite project management module is nice to have
  • Proven ability to coordinate with cross-functional teams and vendors, resolve scheduling conflicts, and maintain stock levels.
  • Highly organized and able to manage multiple tasks, leveraging project management tools for accuracy and timeliness.
  • Skilled in clear, professional communication with technical and non-technical stakeholders.
  • Detail-oriented in reviewing orders, tracking inventory, and maintaining quality control.
  • Knowledge of shipping and receiving processes, and capable of handling returns or replacements as needed.
  • Adaptable team player with a collaborative approach to problem-solving and support for project goals.
  • Experience in engaging with vendors to confirm order details, ensure timely delivery, and resolve any logistical issues.
  • Skilled in negotiating favorable terms and building professional relationships that contribute to the smooth flow of operations
Duties & Responsibilities
  • Oversee hardware inventory in NetSuite ERP, focusing on accurate tracking, purchase order creation, and logistics reporting to support the services department.
  • Process orders in NetSuite ERP, adhering to INS standard procedures and coordinating with key stakeholders for acknowledgment and alignment. Create projects in NetSuite project management module.
  • Collaborate with purchasing to maintain accurate inventory for service projects, tracking usage, reordering parts, and minimizing delays.
  • Coordinate with logistics, production, and subcontractors to meet operational needs, including managing hardware procurement, tracking delivery statuses, and addressing any shipping issues.
  • Manage industrial panel building, from hardware procurement and staging to partner delivery, inspection, and final shipment to customers.
  • Support multiple projects independently, using organizational tools and checklists to maintain quality control and meet deadlines.
  • Document workflows, suggest improvements, and maintain records of processes, ensuring consistency and efficiency across projects.
  • Assist with staging, packaging, labeling, and shipment processing, including tracking incoming and outgoing items to support project deployment.
  • Aid sales and engineering with quote creation, BOM validation, and license renewals.
  • Work collaboratively with engineers, project managers, and other departments to align on project goals.
  • Resolve inventory discrepancies, order delays, and configuration issues, applying critical thinking to keep projects on track.
  • Build and manage vendor relationships, confirming orders, delivery timelines, and ensuring reliable logistics support.
  • Clearly communicate project statuses, inventory needs, and updates across departments, tailoring information for various audiences.


Teamwork

This position must work well within a team environment and provide input and feedback for activity planning and execution. This role requires understanding and planning activities in support of multiple projects. This includes the ability to present project activity and status updates on projects/applications to both customers and INS engineers. They must provide effective and positive feedback to INS team members on difficult solutions and be able to adapt to change in customer requirements and be flexible to accommodate changes without impacting project financials or employee morale.
