This highly visible support position is responsible for greeting visitors and guests to the TUMG. This position answers and directs incoming calls, receives and routes incoming and outgoing mail and packages, assists with department mail outs, projects, presentations, and events, as needed. Under the direct supervision of the Executive Assistant for the TUMG the Administrative Secretary will provide administrative and clerical support to the Executive Assistant as well as back up the Executive Assistant during absence. This position will also provide administrative support to the TUMG Directors, schedule meetings, filing, maintain conference rooms reservation calendar, process invoices in Sciquest, requests checks in Concur, transmit faxes, and process interdepartmental orders (IT).

  • Computer proficiency to include excellent keyboarding skills and knowledge of the following:
  • Word-processing, Microsoft Word, PowerPoint, Excel; E-Mail (Outlook), and electronic calendars
  • Knowledge of and ability to use various standardized word processing, database or spreadsheet preparation software
  • Knowledge of and the ability to use various standardized office equipment such as telephones, LCD projector, computers, fax machines, copiers, etc.
  • Excellent oral and written communication skills, as well as the ability to interact with individuals internal and external to the organization in an effective, courteous, and productive manner
  • Ability to maintain confidentiality in all work performed
  • Ability to prioritize assignments and meet established guidelines
  • Ability to follow instructions and work independently in the completion of assigned tasks
  • Ability to respond quickly, as well as interact effectively and courteously, with physicians and employees at all levels either over the phone or in person.
  • Familiarity with Tulane University systems (i.e., Concur, BPM, Kronos, HCM, etc.)
  • Excellent interpersonal skills
  • High school diploma or equivalent
  • 2 years' administrative support experience
  • Experience in an academic setting
  • Experience with various administrative software packages (i.e., Concur, Kronos, Oracle, etc.)
