Summary and Objective
Under the general direction of the Director of 145 Maintenance, the Maintenance Administrator will provide direct and continuous support of the MRO maintenance operations.
Essential functions

- Facilitate communication between internal departments, ensuring smooth and effective information flow.
- Manage executive calendars, scheduling, and travel arrangements using independent judgment.
- Prepare and manage reports, including data analysis and development of strategic talking points.
- Serve as the primary point of contact for all maintenance floor employees, fostering open communication and addressing inquiries or concerns promptly.
- Serve as recording secretary for meetings, handling complex technical and regulatory discussions.
- Perform data entry and maintain office supplies inventory, including uniform ordering.
- Provide comprehensive clerical and administrative support, resolving concerns and complaints.
- Assist with executive presentations and ensure the accuracy and completeness of materials and reports.
- Manage payroll and timecard accounting, and oversee information distribution.
- Facilitate the maintenance onboarding process for new hires, ensuring a smooth transition into the organization.
- Coordinate and plan MRO events to support departmental objectives.
- Develop and utilize efficient filing and retrieval systems.
- Handle customer and vendor interactions.
- Handle emergency situations or crises within the maintenance department with confidentiality and professionalism.
- Initiate continuous improvement projects and coordinate specific maintenance projects.
- Act as a partner to HR, ensuring alignment of policies and procedures and promoting a collaborative work environment.
- Make sound judgment calls and use common sense to address unexpected challenges and opportunities.
- Provide assistance with recruiting needs and participate in the hiring process as necessary.

Qualifications
Required education and experience
- High School degree or equivalent
- Prior experience in an Administrative Assistant or Executive Assistant role, preferably with at least 5 years.
- Excellent verbal, written, and computer skills.
- Exceptional customer service skills
- Must be authorized to work lawfully in the United States, must provide two forms of Federal Identification.
- Candidates must successfully complete a comprehensive background check prior to employment. This includes verification of previous employment, education, criminal history, and any other relevant information necessary to determine the suitability for the position.
- Associates Degree in Administration or equivalent
- 1 to 3 years Aerospace/ Aeronautics Experience
