Administrative Assistant

POSITION SUMMARY:
The Administrative Assistant plays a key role ensuring smooth day-to-day operations of our Administrative Department and providing flexible support to our Executive Assistant Team. Duties include assisting in various projects and office needs, meeting preparation, travel arrangements, expense reports and document preparation.
PRIMARY RESPONSIBILITIES/FUNCTIONS

70% Provide general administrative support, including:
- Arrange and organize meetings, including conference room setup, coordinating with support teams
- Filing, written and verbal correspondence
- Calendar scheduling
- Respond to requests in a timely and professional manner
- Assist with preparation and review of documents, spreadsheets and presentation slides
- Expense report preparation and receipt tracking
- Compile reports and communications on a recurring basis
- Assist with various travel arrangements and itineraries
- Perform duties of a confidential nature
MINIMUM EDUCATION & SKILLS REQUIRED
Educational/Experience Requirements:
- High school diploma or equivalent
- 2+ years experience in an administrative or office support role
- Knowledgeable and proficient in productivity applications (Google Workspace, MS Office) including documents, spreadsheets, presentations
- Concur and Tableau experience a plus
- Professional and friendly demeanor
- Excellent customer service skills
- Strong grammar, editing and proofreading skills, as well as verbal and written communication skills
- Excellent organizational and time management skills
- Strong attention to detail and accuracy
- Ability to prioritize, meet deadlines and handle multiple tasks simultaneously
- Ability to work independently and collaboratively with a team
- Ability to understand sensitive information and maintain confidentiality
- Use of keyboard and telephone
- Ability to operate standard office equipment
- The position is frequently required to sit, stand, walk, stoop/bend, reach/grasp and talk/hear/see
- Occasional lifting up to 20 pounds
