Summary  Under the supervision of the NYC Program Manager, the Haitian Representation Program Coordinator supports operational and case management needs, including data entry and management into various tracking systems for case referrals, placements and outcomes; service event coordination, including outreach, scheduling clients based on capacity, reserving requisite space, volunteer coverage, and supplies preparation. This position is part of a new initiative that will expand the capacity of the Catholic Charities to serve Haitian recent arrivals through dedicated funding from New York City. Catholic Charities seeks a candidate who is linguistically- and culturally responsive to the needs of newly arrived Haitian New Yorkers. New York has the second-largest population of foreign-born Haitians in the United States, and recently arrived Haitian immigrants face particular legal challenges in their cases. The candidate for this position should be familiar with the historical and cultural context of Haitian migration to the United States. Essential Duties and Responsibilities including the following:
  • Responsible for the operational needs of the Haitian Representation project, including data and document maintenance related to the compliance needs of the project’s contractual obligations.
  • Collaborate across projects (Immigration Court Helpdesk, Pro Bono Project, ActionNYC in Schools) to develop and implement standard operating procedures for case referrals and tracking of legal service outcomes.
  • Coordinate legal referrals and appointments with coalition CBOs and ActionNYC hotline.
  • Coordinate the logistics of events targeted towards the Haitian community, including legal screening events, in-house and remote trainings, know your rights presentations, train-the-trainer events, and coalition meetings with Haitian CBOs and other stakeholders. Assist, as needed, in the coordination of legal services events hosted by other projects that will serve Haitian   clients.
  • Support the client check-in process during group legal services events.
  • Create and update a list of organizations for external case referrals and non-legal referrals to include coalition CBOs and others. Develop and maintain relationships with organizational contacts.
  • In collaboration with ICH Coordinator, coordinate all logistics of monthly Self-Help Workshops for unrepresented respondents. Schedule and assist participants in obtaining documents necessary to complete pro-se applications and follow up with via phone, mail, and e-mail. Support ICH team in compiling pro se filings for submission.
  • In collaboration with ICH Coordinator, maintain volunteer database and coordinate volunteer registration and scheduling through SalesForce.
  • Coordinate interpretation needs, and/or written or recorded materials in the language understood by the communities served.
  • Maintain tracking systems for services provided, including assessment results, for external and internal case referrals.
  • Uses client management databases to register, maintain, and update client    records.
  • Assist the Special Projects Supervising Attorney, Haitian Representation and Program Managers with monthly and quarterly statistical reports.
  • Provide attorneys with translation or screening assistance as necessary.
  • Create and maintain physical and electronic files for program participants.
  • Other duties as assigned.
This is a full-time position that will require working with underserved communities both in New York City and the Lower Hudson Valley. This is a full-time position that will require flexibility working from 8:30AM to 4:30PM or 9:00AM to 5:00PM Monday – Friday. Additional hours are required to meeting court and/or program deadlines, or client needs.   • Remain at workstation and in meetings to complete operational, administrative, and coordination needs of Special Projects programming.
  • Travel, as needed, by using public transportation or vehicle, traverse City streets, occasionally ascend/descend stairs, and be exposed to outside weather conditions.
  • Carry a laptop and event-related documents to offsite workstations.
This is a non-exempt, hourly position. The hourly pay range is $30.22 to $32.96 based on a 35-hour work week ($55,000.00 to $60,000.00 per year). Qualifications
  • Graduation from accredited college or university or equivalent professional training related to the position.
  • Previous experience managing databases required.
  • Previous experience in database and records administration, and in compliance with grant reporting requirements is valued.
  • Bilingual: English plus Haitian Creole 
  • Ability to manage high-volume communication and priorities for a fast-paced   project.
  • Ability to manage many urgent demands at   once.
  • Ability and experience working with diverse individuals and communities.
  • Excellent attention to detail.
  • Highly organized.
  • Excellent interpersonal, organizational, administrative and communication skills.
  • Ability to work both independently and in highly collaborative team environment.
A plus, but not required:
  • Experience working as an immigration legal administrative assistant or advocate.
