Job Title: Office Administrator
Pay Type: Hourly/ Non-Exempt
Status: Full time, Permanent
Reports to: Vice President of Human Resources
Summary
This position provides administrative and office support for the Executive team. In addition to typing, filing and scheduling, performs duties such as coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. Also, responsible for answering telephones and greeting guests upon arrival. This position must maintain a high level of confidentiality and exhibit professionalism at all times.
Essential Functions
1. Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of leadership team.
2. Researching venues and group events using budgets that align with business initiatives.
3. Establishes, develops, maintains and updates filing system for leadership team.
4. Answer telephones and take messages when necessary
5. Accepts, sorts and distributes mail
6. Takes messages or fields/answers all routine and non-routine questions.
7. Handles confidential and non-routine information and explains policies when necessary.
8. Works regularly managing and filing all Certificate of Insurance for all vendors.
9. Works independently and within a team on special nonrecurring and ongoing projects. Acts as project leader for special projects, upon request, which may include: planning and coordinating multiple presentations, printing and circulating information, coordinating direct mailings, creating brochures.
10. Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy and making copies for meetings
11. Responsible for all Food Permit, Business Licenses new and Renewals
12. Regularly running reports for leadership team
13. Supports marketing initiatives and data research of stores
14. Applicant Management Support to field
15. Answers to Employee Verifications, payroll access support, and garnishments
16. Partners with Accounts Payable for invoicing and as tasks require

Supervisory Responsibility
This position has no supervisory responsibilities.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. The job may, on occasion, involve off-site meetings and store visits.
Physical Demands
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
Position Type and Expected Hours of Work
This is a Part time position. Days and hours of work are Monday through Friday, 9:00 a.m. to 5:00 p.m.
Travel
Minimal travel may be requested for off-site meetings
Required Education and Experience
1. High school diploma.
2. Three year of administrative experience.
Preferred Education and Experience
1. Associate's degree.
2. Two years of related experience.
