Administrative Assistant

The Administrative Assistant is responsible for the day-to-day administrative duties required by the north slope supervisors. This position requires working 10 hours per day, 4 days in a row, followed by 4 days off. This position will have an alternate that works the opposite 4 day on/4 day off schedule to ensure 7 day a week coverage. This is an office-based position, the location for this position can be either Anchorage AK, Kenai AK or Missoula MT. Remote work may be an option after training.

Essential Duties & Job Functions:
- General areas of responsibility include all data entry and reporting related to the functions of personnel time keeping and equipment rental activities, as well as general office duties as directed.
- Data entry of all time keeping information including employee information, hours, charge codes and other related information.
- Weekly entry of CCI materials information related to contract billable information.
- Assists manager with data entry of all CCI equipment rental information and other related contract billable information for client.
- Assists manager with data entry of all third-party equipment rental cost information related and/or unrelated to billable information for client.
- Registering projects, building and upkeep of project folders.
- Generation and submittal of Employee Status Change Form
- Manage and log daily, weekly and monthly reports in TEAMS files.
- Support building bid packages, gathering data and information from all CCI programs.
- Assist HSE department with training reminders, scheduling and training entry.
- This job has no supervisory responsibilities.
- Other general and specific office duties as assigned by manager
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Ability to deal with problems involving several concrete variables within established procedures.
- High school diploma or GED is required.
- Two years of experience or an equivalent combination of education and experience to carry out all responsibilities and duties associated with the position.
- A valid driver's license is required.
- Associate's degree (A.A.) from two-year College or university is preferred.
