Job Overview:
The Intake and Eligibility Coordinator is an essential member of the Family Services Team. This position is responsible for supervising a core team performing ELRC functions in client-centered intake and case management to include: collecting and evaluating client income documents, interpreting and applying OCDEL regulations and policy to determine Child Care Works (CCW) eligibility, processing applications and redeterminations, following up on missing documentation, conducting personal interviews with families, establishing and maintaining child schedules for payments to providers, generating parent/provider notifications, maintaining case files, processing appeals, and participating in appeal hearings. This position reports to the Family Services Manager and collaborates across the ELRC to reduce barriers and administrative burden on families accessing critical early care and learning resources and to contribute to efforts to build regional access to high-quality early learning settings. The Intake and Eligibility Coordinator primarily operates out of the Early Learning Resource Center office.
*Responsibilities:
- Supervise a team of Intake and Eligibility Specialists in conducting all family intake and case management functions to ensure compliance with subsidy regulations, policies, procedures, and timeframes.
- Responsible for quality control of all caseloads and reflective supervision with assigned team.
- Evaluate Intake and Eligibility Specialists staff at the completion of 90-day initial review period and on an annual basis to build integrity of processes, addressing job performance when necessary.
- Responsible for working collaboratively with other department Coordinators and Family Services Manager to promote client-centered services and participation of families in all ELRC services and in access to meaningful community resources.
- Work in conjunction with Family Services Manager to ensure compliance with OCDEL regulations and timeframes and to conduct regular compliance monitoring, quality control activities, and outcomes reporting for team performance.
- Support the Family Services Manager in implementing protocol to ensure staff execute all CCW eligibility actions effectively and proficiently according to OCDEL policy, procedures, and state and federal statutes and regulations.
- Complete ongoing required and growth professional development to remain current on ELRC policies and procedures, to understand the scope of resources available to regional families, and to develop internal and external collaboration to promote access to the full scope of resources.
- Develop reports as necessary.
- Additional duties as assigned.
- Demonstrated proficiency with computer software programs (Microsoft Word, Access) and data entry.
- Strong organizational, time management and follow up skills.
- Detail oriented.
- Proven ability to work under pressure, perform concurrent multiple tasks, identify and prioritize issues/ work assignments and meet deadlines.
- Good written and verbal communication skills.

- Supervisory or equivalent experience with minimum 3 years' experience with subsidized child care provider eligibility or 5 or more years work experience in human services, customer service, or related field involving program eligibility determination.
- Bachelors degree or higher preferred in social services or related field
