Description

The Waldinger Corporation, a growing Mechanical, Electrical, Plumbing, and Sheet Metal industry leader, is adding a full-time Administrative Coordinator to our team This individual must possess great organizational skills and a good eye for detail as they'll serve as an administrative go-to for our branch

Responsibilities:
  • Inputs, reviews, and transmits branch craft payroll for service and construction. Performs the timekeeping, timecard/service report reconciliation, and allocates supervisory time to projects.
  • Processes all client payments received at the branch, log information in Penta, and prepare to send to Corporate Office. Tracks open AR, and contacts clients on past due accounts for the Branch. Maintains thorough notes regarding collections calls in Penta. Generates and mails accounts receivables statements monthly. Researches and resolves any rejected or disputed invoices.
  • Processes all accounts payable vendor invoices sent to branch. Ensures vendor invoices received regular mail and email are processed and uploaded to pVault. Reviews vendor statements, researches and resolves any missing AP invoices and disputes. Processes and maintains credit card purchases log and reconciliation.
  • Assists Billing Coordinator with any service work order billing. Compiles all job costs and verifies customer billing requirements. Tracks all work orders for accuracy. Researches and resolves any rejections or disputes. Constructs customer invoices and sends them timely.
  • Assists clients with billing questions. Provide documentation and assists the manager in resolving disputed charges, when necessary. Processes credit card payments. Maintains good customer relations and provides clear communication to all external and internal clients.
  • Assist the Administrative Team, Service Department, and Construction Department as needed with duties to be determined by the Branch Office Manager/Controller. Maintains office supplies, such as, but not limited to, postage stamps, general office supplies, uniform services point of contact, etc.
Requirements:
  • 1-3 years administrative experience
  • Excel skills
  • Ability to multi-task in a fast-paced environment
  • Organized, detailed, and problem-solving ability
  • Data entry, 10-key, computer skills
  • Associates Degree Preferred
