Job Summary: The attendance secretary will be responsible for ensuring accurate attendance accounting for Joplin High School students; will provide general clerical support, information, and/or direction as may be assigned; will resolve attendance related issues; will convey attendance and attendance related discipline information to appropriate parties; and will perform other duties as assigned by building administrators. This position requires a high degree of friendly customer service whether on the telephone, speaking with students, parents, coworkers or administrators.

  • Arrive to work and leave work at the time specified by supervisors and attend all required meetings pertinent to the position.
  • Maintains accurate records and filing systems for accountability and audit purposes as required by law and Board policy.
  • Solve practical problems utilizing math functions as needed to complete job duties.
  • Read and interpret documents such as work orders, safety rules, and handbooks and apply to job duties.
Essential Functions:
  • Communicate with students, teachers, parents, district employees, etc. (e.g., courtesy calls to parents, homework request, attendance history, parent letters, passes to students, etc.) for the purpose of resolving problems.
  • Greet students, parents, teachers and administrators; assess the nature of the visit, assist visitors directly or direct then to the appropriate person.
  • Receive, transcribe, and deliver messages to students and staff when necessary.
  • Control student entry and exit from campus during school hours (e.g. generating admission slips, late notices, class release forms, etc.) for the purpose of ensuring accurate student attendance reporting.
  • Track attendance for all field trips and activity trips (i.e. band, choir, debate, etc.).
  • Oversee five and ten day attendance letters (to parents, truancy officer, juvenile office, etc.)
  • Receive and file notes regarding student appointments and past and pre-arranged absences. Call parents to verify notes when necessary.
  • Communicate pertinent information with Jasper County and Newton County Juvenile Offices, Division of Youth Services, Division of Family Services, and other agencies regarding placement of students, truancy, discipline, etc.
  • Assist with passwords for PowerSchool Parent Portal and student log-ins.
  • Answer and screen incoming phone calls, forward calls to appropriate person, and take messages regarding excuse for absences, parent inquiries, etc.
  • Compile daily attendance summary for principals with all student absences.
  • Assist the assistant principals and guidance department with beginning and year-end procedures.
  • Assist the assistant principals in organizing and communicating homebound assignments to staff and students.
  • Perform other duties as requested by all principals.

While performing the duties of this job, the employee is regularly required to walk and talk or hear. The employee frequently is required to stand or sit. Specific vision abilities required by this job include close vision, distance vision, and depth perception.
