The Receptionist is primarily responsible for performing the administrative support and front office reception duties of the organization. This includes ensuring that public areas (including group rooms, lobby, hallway seating and break areas) are appropriately set for meetings/groups, organized and tidy.
DUTIES/ RESPONSIBILITIES:
- Demonstrates a welcoming and professional demeanor in providing individualized service to all clients and guests both on the phone or in person.
- Directs incoming calls appropriately, making appointments or disseminating information and or assisting callers with general agency information as appropriate including:
- Scheduling and confirming appointments
- Maintaining good contact with clients, stakeholders and referral sources as directed
- Prepares and maintains forms, intake/orientation packets and/or correspondence as assigned.
- Accurately maintains the active and closed healthcare files for the agency; ensures detailed filing accuracy and maintains confidentiality of all client information.
- Assists administrative leadership as appropriate with administrative/clerical duties as assigned, including but not limited to general data entry, filing, mailings and word processing.
- Strictly adheres to all Federal and State Laws, rules and regulations and agency policies and procedures regarding HIPAA and privacy regulations regarding confidentiality of client information.
- Promotes MMRS philosophy and mission through personal attitudes, actions and behaviors.
- Demonstrates professional ethics, integrity and cultural sensitivity in working with a diverse population.
- Complies with agencies conflict resolution protocols.
- Employer retains the right to change or assign other duties to this position.
SUPERVISORY RELATIONSHIPS:
Supervised by Front Office Supervisor (or designee); serving administrative leadership and clinical staff as appropriate.
QUALIFICATIONS:
Must be a high school graduate with at least two years of demonstrated active front office experience; Associates degree and/or business related college coursework preferred. Proficiency in Microsoft Office and handling multi-line phone required. Must have the ability to learn and understand medical office administration policies and procedures and develop a general understanding of treatment and housing programs of MMRS.
If recovering from a substance use disorder, must have a period of demonstrated sobriety to effectively carry out job duties.
