The MGH Institute of Health Professions is actively seeking a dedicated and dynamic Enrollment Advisor to join our Office of Enrollment Services. This role is integral to the admissions process, serving as the first point of contact for prospective students and their families.

The Enrollment Advisor reports to the Associate Director of Admission Operations, coordinating operations, recruitment and admissions as assigned by the Director. The Enrollment Advisor provides exceptional customer services and cultivation of applicants through the advising, admissions, and registration process, with emphasis on identifying and recruiting students from multicultural and traditionally underrepresented backgrounds. The Enrollment Advisor collaborates closely with other Institute faculty and staff regarding various activities and projects that support the Institute's strategic enrollment goals.

DUTIES / RESPONSIBILITIES/ TRAINING

Inquiry, Application and Registration Follow-up (70%)

  • Maintain service expectations of the admissions office via task assignments in the CRM and all scheduled meetings.
  • Meet daily goals and admissions-related service expectation by responding within 24 hours of receipt.
  • Manage the application and/or registration process for assigned programs by advising potential students via telephone, email, text, and video regarding application processes, admission requirements, registration process, waiver requests, special circumstances related to the application and general program information.
  • Cultivate and build relationships with prospects/inquiries/applicants and ensure a high-level of student experience.
  • Establish linkages between inquiries and applicants to academic departments, admissions staff, and other IHP departments when appropriate.
  • Problem-solve all student-specific issues related to the application process.
  • Manage and process all documents (paper and electronic) through various systems (CRM and SIS) to ensure maximum completion rate of all IHP applications for assigned operations.
  • Log, scan, and provide updates to the Associate Director of Admissions Operations on transcript and application materials receipt for all applicants.
  • Advise applicants on status of applications or registrations
Communication Plan (10%)
  • Provide ongoing feedback to the Director of Admissions and the Associate Director of Admission Operations regarding communications and workflows from inquiry through matriculation.
  • Assist in the standardization and monitoring of communications/workflow timelines to insure effective applicant service as well as timely file review.
Application Management (15%)
  • Responsible for maintenance and security of admissions files through operations and application processing.
  • Act as point person and advise program admissions committees/leadership during the application review process.
  • Manage matriculation deposits and post-deposit withdrawals; provide status updates to programs and relevant IHP staff as necessary.
  • Manage communications with applicants and programs related to Admissions review and decisions.
Other (5%)
  • Perform other related duties within OES in support of overall student and applicant experience.
  • Represent the Institute at scheduled recruitment events, both on and off campus. Some regional and national travel is required.
  • Manage the scheduling and coordination of on-campus and virtual information sessions. This includes working with all faculty departments and facilities. Manage information session registration and tracking attendance within Recruit.
  • Supervise the work of Graduate Assistants as needed.
Training
  • Two weeks intense training.
  • A year's experience moving through the various admissions cycles.
Qualifications

EDUCATION
  • Bachelor's degree required.
  • One to three years' experience directly related to the duties and responsibilities specified.
  • Experience with CRM's and Microsoft Office products preferred.
  • Excellent interpersonal skills and ability to deal with complex issues.
  • Master's degree preferred.


SKILLS & ABILITIES

Administrative Skills - Excellent communication and interpersonal skills; customer-oriented. Well-developed telephone etiquette: ability to handle multiple tasks and frequent interruptions effectively; familiarity with enrollment management concepts; detail oriented.

Technical Skills - Skill in the use of personal computers and related software applications including MS Word, Excel, PowerPoint and SIS software. Basic math competency.
