Position Summary

The Human Resources Specialist provides support to the People & Culture Department, managing a variety of functions including Benefits and Leaves Administration, HRIS Systems administration, with a focus on UKG Pro Systems functionality and user experience, and General Human Resources Operations. This role serves as a central point of contact for employees and managers, assisting in the implementation of HR policies and programs. The Human Resources Specialist plays a key role in supporting HR initiatives, ensuring smooth HR operations, and fostering a positive work environment.

KEY PERFORMANCE AREAS

Benefits Administration (20%)

  • Administer employee benefits programs, including leaves of absence (FMLA, ADA accommodations, and other statutory leaves)
  • Support employees with benefits enrollment, changes, and inquiries, providing detailed information on available options and eligibility requirements.
  • Ensure compliance with provisions of ERISA, HIPAA, COBRA, ACA, and other federal and local regulatory requirements.
  • Audit and reconcile benefit plan and benefit -related invoices, process discrepancy reports.
  • Coordinate annual benefits open enrollment by preparing communication materials, conducting informational sessions, and processing employee elections.
  • Work with benefits providers to resolve employee issues and ensure accurate processing of benefits-related transactions.


HRIS Administration (40%)
  • Serve as systems administrator, in partnership with P&C Program Manager. Manage functionality and data integrity of HR systems, focusing on functionality, integration, and user experience of the UKGPro system across the organization.
  • Generate and deliver a variety of routine weekly, monthly, and ad hoc reports as needed for management to support P&C decision making and compliance reporting. Prepare P&C dashboard for leadership and employees, update them regularly.
  • Manage UKG Pro in partnership with P&C Program Manager (workflow, user administration, compensation and salary administration, benefits administration, employee self-service, annual open enrollment, onboarding, recruiting, performance review process and general HR administration).
  • Define and manage system security standards, ensuring appropriate and proper levels of access for all users.
  • Collaborates in the development, administration, maintenance, and modification of HRIS processes, procedures, and guidelines.
  • Assign UKGPro roles to users including basic training and troubleshooting.
  • Collaborate with P&C team to ensure data is uploaded to electronic file management system as appropriate.
  • Communicate with other members of the People & Culture team to resolve system issues.
  • Manage the day-to-day support to end users, troubleshoot issues and recommend solutions.
  • Maintain and update the HR Information System(HRIS) with employee data, ensuring accuracy and confidentiality of information. Perform system audits to ensure data integrity.
HR Operations (40%)
  • Assist in the onboarding process by preparing new hire paperwork, conducting orientation sessions, and ensuring a smooth transition for new employees.
  • Assist with interview scheduling and candidate communications.
  • Collaborate with P&C Leadership in implementing employee recognition programs, team-building activities, and wellness initiatives.
  • Maintain accurate and up to date employee records, including personnel files, in compliance with legal requirements and company policies.
  • Conduct periodic audits of HR practices and records to ensure compliance and identify areas for improvement.
  • Support payroll processing by collecting, reviewing, and verifying time keeping records, including hours worked, overtime, and leave balances. Act as liaison with payroll to review changes and ensure accuracy.
  • Maintain deduction update log for biweekly meetings with Payroll.
  • Work with HRBPs in managing the LMS (Learning Management System)
  • Assist in coordinating employee training programs and professional development initiatives, including scheduling, communication, and tracking participation.
  • Support the implementation of performance management processes, including performance reviews, goal setting and feedback mechanisms.
  • Participate in P&C Projects and initiatives, such as diversity and inclusion programs, employee engagement activities, and process improvement efforts.
  • Collaborate with the P&C team members to develop and implement programs that enhance the employee experience and support organizational objectives.
Qualifications:

Experience:
  • Minimum of 3-5 years of experience in human resources or a related field, with a focus on HR coordination and systems administration.
    • Demonstrated experience in benefits administration and leaves management.
    • Experience in administration of HRMS required, including maintaining, upgrading, and troubleshooting of various HRMS applications that include payroll, recruiting and benefits.
    • Knowledge of all federal, state, and local regulations and compliance requirements related to employee Benefits. Solid understanding of HR practices, employment laws, and regulations, including EEO, FMLA, and FLSA.
    • Strong analytical skills and ability to interpret and communicate data.
    • Excellent customer service skills including understanding users’ needs, offering solutions, and following up to ensure end user success.
    • Initiative and drive to continuously improve processes and systems.
    • Project management skills including attention to detail, highly organized.
    • Proven ability to work effectively in teams and with individuals at all levels within an organization.
    • Experience managing several tasks and priorities; exercise sound judgement and independent working; a self-starter.
  • High level of accuracy and attention to detail in managing HR records, data, and documentation.
  • Maintain a high level of confidentiality and professionalism when handling sensitive employee information.
  • Ability to work collaboratively with HR colleagues and other departments to support HR initiatives.

Preferred
  • Minimum of two (2) years administrator experience with UKG Pro (formerly UltiPro)
