Secretary to the Supervisor of Special Services
Primary Function:
The child study team secretary provides daily support to the members of the child study
team which includes the psychologists, social workers, and LDT-C's to maintain
efficiency and effectiveness within the child study team department.
Qualifications:
1. A High School or equivalent GED diploma.
2. A minimum of three years related secretarial/clerical experience.
3. Proficient in Microsoft Office programs
4. Knowledge and/or experience with school software applications, i.e.,
Systems 3000 and Realtime.
5. Experience with business office machines; advanced organization and filing
skills.
6. Good communication skills; ability to maintain cooperative relationships with
staff, students, parents, community representatives and external agencies.
7. Ability to work independently; multi-task; demonstrate aptitude and
competence in assigned responsibilities.
8. Such alternatives to the above qualifications as the school district may find
appropriate and acceptable.

Responsibilities and Duties:
1. Responsible for general operation and functionality of the child study team
office.
2. Responsible to complete child study team reports, IEPs, memos, letters, and any
other form of correspondence for the district child study team staff and/or
supervisor of special services. Direct related messages and calls to appropriate
child study team members.
3. Organize, prepare and maintain appointments, schedules, meetings, and
internal/external correspondence for, but not limited to the following: Parent
conferences, outside consultants, and other professionals.
4. Develops and maintains accurate and organized files on classified and non-
classified students, and ensures the safe-guarding of all confidential records by
assisting the administration and teachers upon request to review student files.
5. Responsible to prepare and distributes due process letters and associated
documents to parents, administration, and case managers.
6. Provide support for child study team members as needed.
7. Use personal skills and good judgment in decision-making processes and general
management of the main office.
8. Ability to improve upon office functions and adapt to new procedures willingly as
introduced by Board policy and/or mandated state regulations.
9. Maintain a time log of when records need to be released to graduated students
and/or shredded.
10. Maintain a high level of ethical behavior and confidentiality.
11. Attention given to important details in the production of competent work
assignments.
12. Set a positive example to others when attending to daily office demands.
13. Perform all other duties as designated by the supervisor and or changes in any
procedure by Board policy or State law.
Evaluation:
Job performance is evaluated annually by the Supervisor of Special Services in
accordance with provisions of the board's policy on the evaluation of support personnel.
