The Document Controller is responsible for managing the numbering, filing, sorting, and retrieval of both electronic and hard copy documentation produced by designers, architects, and other team consultants. This role ensures that all documentation is handled in a timely, accurate, and efficient manner. You will oversee the management of all internal, client, vendor, and project-related documentation and information in electronic format. The ideal candidate is a self-starter with a strong work ethic, capable of thriving both independently and within a team environment. They should be detail-oriented, possess excellent communication skills, and be committed to meeting project deadlines and milestones, which may require flexibility and the willingness to work additional hours when necessary. Role and Responsibilities Receive, process, monitor and expedite internal and external distribution of project documentation files consisting of creative illustrations, drawings, vendor information, technical data, architectural drawings and supplier drawings, technical specifications and other project related documents. Develops and maintains procedures and standards for maintaining documents and revision history of documents, including document development, approval, distribution, and amendment. Prepare transmittals and distribute information as requested Preparing project specific Master Document Registers, procedures, instructions, and forms Project startup/setup, compilation of data books, handover, project closeout and archiving Establish and maintain good relationships with all staff, clients, and subcontractors/ vendors. Strong interpersonal and communication skills, both written and verbal and a professional demeanor are required. Maintains and manages the project data tracking and ancillary systems for the record and retention of the project documents. Manage timely submission of RFls, Submittals, transmittals internally and externally. Maintains associated logs, as well as, distribution and follow up to maintain schedule of submission/re submission. Manages metadata parameters ensuring all files are appropriately named, distributed, and meet project requirements. This individual may be responsible for managing, training and developing document control coordinators. Qualifications 1-2 years of experience in Document Control in a themed entertainment environment or similar experience 2 years of Industry related experience High School Diploma or GED Basic knowledge of Document Management System and project related databases Proficient in MS Office software Ability to gather and prepare project information in the required format for handover to the client's system Ability to input data into Aconex Ability to resolve routine problems and questions independently Effective oral and written communication skills with good vocabulary, good grammar and the ability to independently compose written communications Ability to handle tasks simultaneously and to work effectively with interruptions Good organizational and time management skills and ability to meet deadlines Effective communication skills (written and verbal) Estimated Start Date: ASAP Status: Contractor Salary: Competitive salary DIVERSITY AND INCLUSION STATEMENT DIVERSE IS WHO WE ARE Way more than a box to check, diversity is core to RWS Global culture.
