The Experiential Creative team, within the Supply team, is a unique, multidisciplinary team that focuses on developing new Experiences supply. We ideate, prototype, and deliver new hosted Experiences that grow business, develop and steward the creative vision for Host acquisition and curation initiatives, and collaborate with current and new types of Hosts to create exceptional hosted experiences that foster human connection in our shared physical world.

The Difference You Will Make:
The Experiential Creative Production Coordinator supports the development, prototyping, and production of innovative hosted travel and experiential entertainment concepts.

These projects vary in type, scope, and complexity from the development of creative concepts for new hosted travel offerings, to the production of real-world hosted experiences in collaboration with partners, to the delivery of physically immersive entertainment experiences and events.

This role will report to the Supply Lead, Experiential Creative Supply, and will work remotely, based in Los Angeles or San Francisco. This creative, organized, and passionate individual will support teams and projects to bring new ideas to life, creating unique experiences that enable millions to connect and explore our shared physical world.

A Typical Day:

  • Project coordination: Support project coordination, planning, production, and execution, including the development and tracking of timelines, schedules, milestones, estimates, budgets, and action items across multiple new Experience projects.
  • Field producing: As required, work in the field with current or potential Hosts and third-party partners to coordinate and produce the design of new experiences, and support the production of physical-world hosted activities, events, experiences, and prototypes globally.
  • Presentation support: Coordinate and execute concept pitches and presentations, including layout, printing, setup, and arrangement of the physical space when needed.
  • Concept development: Collaborate with creative teams to facilitate brainstorms and forward the production of new ideas for Client hosted travel and experiential entertainment concepts.
  • Cross-functional collaboration: Work closely with peers across creative, business, operations, product, marketing, communications, engineering, legal, and other teams to coordinate efforts and ensure successful concept delivery.
  • Vendor management: Liaise with external vendors and contractors, manage contracts, and oversee work to ensure timely and high-quality deliverables.
  • Project documentation: Create and maintain accurate project documentation, including project briefs, schedules, budgets, estimates, resource plans, and status updates.
  • Stakeholder communication: Facilitate effective communication and collaboration across team members and stakeholders - including senior leadership - providing regular project updates and proactively flagging any issues or blockers.
  • Industry awareness: Stay up to date with the latest trends, technologies, and best practices in experiential entertainment and travel industries, and contribute innovative ideas to enhance project outcomes.
  • Inclusivity: Foster a respectful, supportive, and inclusive environment where all team members and stakeholders feel safe and empowered to do their best work

Your Expertise:
  • Experience: 6+ years in experiential production coordination, project management, program management, event creative coordination, experiential travel coordination, or related fields.
  • Education: Bachelor's degree or equivalent professional experience in fields including entertainment design, event production, experiential marketing, hospitality creative, or related disciplines
  • Project management skills: Strong organizational skills, attention to detail, and the ability to manage and prioritize the coordinator and production of multiple projects and work streams simultaneously end-to-end.
  • Flexibility: Ability to thrive in a fast-paced, dynamic environment and adapt to rapidly changing priorities with high-level direction
  • Creativity and innovation: Ability to think creatively and participate in the generation of unique ideas for Client experiential entertainment and hosted travel concepts.
  • Communication: Exceptional verbal and written communication skills, including the ability to articulate and summarize complex ideas clearly and compellingly - strong presentation and public speaking skills are a plus
  • Technical proficiency: Familiarity with common project management and documentation tools, with the ability to quickly adapt to new technologies and processes.
Must have requirements:
  • Bachelor's degree or equivalent professional experience as a coordinator or assistant producer in fields including entertainment design, event production, experiential marketing, immersive experience design, hospitality creative, or related discipline.
  • Demonstrated ability to support a team, moving talent acquisition conversations and concepts forward through multiple channels of communication, scheduling, coordination of production, and reporting back on creative production status to support a team producing Experience concepts.
  • Well organized, strong Google Sheets skills

  • Demonstrated ability to be resourceful and tenacious in the face of obstacles, adapt to change and ambiguity, and find unconventional solutions.
