Job Title: Administrative Assistant

Job Description

  • Oil and Gas company is hiring an experienced Administrative Assistant As an Administrative Assistant, you will play a key role in processing payments, managing shipments, and coordinating repair orders.

  • You will work closely with the back shop and warehouse team to ensure smooth operations.

  • Your responsibilities will include invoicing, ordering parts, tracking shipments, and maintaining detailed logs.

Responsibilities

  • Process payments to customers and manage invoicing.

  • Coordinate with the back shop and warehouse for repair orders.

  • Order necessary parts and track shipments from various distribution centers.

  • Maintain detailed logs of repairs and shipments.

  • Communicate with sales personnel regarding the status of open orders.

  • Answer phone calls and handle customer inquiries.

  • Utilize specific portals to order parts needed for repairs.

  • Write summaries of work orders created by the back shop team.

Essential Skills

  • 3+ years of administrative experience, including data entry and customer service.

  • Proficiency in Microsoft Outlook.

  • Experience in construction administration, environmental, oil and gas administration, or a translatable industry.

Additional Skills & Qualifications

  • Experience with Salesforce and Navisphere for shipment tracking.

  • Knowledge of oil and gas materials, equipment, or supplies.

Work Environment

  • This role is primarily office-based with frequent interaction with the back shop. You will spend time running between the office and the shop to ensure smooth operations.

Job Type & Location

  • This is a Contract to Hire position based out of Sacramento, California.
