Position Summary
The Executive Assistant will support the President and other members of the Senior Management Team as needed. The position requires a highly motivated individual with the ability to multi-task in a fast-paced environment. The position requires the ability to prioritize projects, work professionally with all levels of the organization, and successfully execute tasks on short notice. This position will encompass a broad variety of administrative tasks, and will require a high level of integrity, confidentiality, and superb organizational skills.
Primary Duties and Responsibilities
- Provide high-level administrative support and assistance to the executive team
- Manage and maintain executive calendars and communications
- Greet incoming visitors professionally and ensure coordination of all needed items for planned customer and vendor meetings (conference room, IT, meals, etc.)
- Schedule, prioritize, and coordinate internal and external meetings, including communicating relevant details to participants
- Coordinate various team events and off sites, including details such as catering, entertainment, transportation, location, invitee list, equipment, etc.
- Review and approve expense reports, ensuring accuracy and proper documentation
- Review and distribute incoming correspondence, mail, packages, reports, etc.
- Oversee travel arrangements and logistics for the executive team
- Maintain trade association memberships and register attendees for events as needed.
- Maintain a comprehensive inventory of office supplies and equipment
- Develop and manage relationships with office-related vendors and suppliers, including negotiating agreements to secure cost effective solutions to office needs
- Oversee and coordinate property maintenance and repairs
- Assist with special projects as needed
- Associate or Bachelor degree preferred
- Minimum of 5 years of experience in similar role supporting senior leadership
- Demonstrated proficiency with Microsoft Office (Word, Excel, PowerPoint) and the ability to learn and work with internal software applications
- Demonstrated ability to handle confidential information with discretion and professionalism
- Strong analytical and interpersonal skills
- Meticulous attention to detail
- Excellent planning and time management skills
- Strong written and verbal communication skills
- Able to lift up to 25 lbs. occasionally
- Able to bend, stand, walk, sit
- Able to operate office equipment
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
