Position Summary

The Executive Assistant will support the President and other members of the Senior Management Team as needed. The position requires a highly motivated individual with the ability to multi-task in a fast-paced environment. The position requires the ability to prioritize projects, work professionally with all levels of the organization, and successfully execute tasks on short notice. This position will encompass a broad variety of administrative tasks, and will require a high level of integrity, confidentiality, and superb organizational skills.

Primary Duties and Responsibilities
  • Provide high-level administrative support and assistance to the executive team
  • Manage and maintain executive calendars and communications
  • Greet incoming visitors professionally and ensure coordination of all needed items for planned customer and vendor meetings (conference room, IT, meals, etc.)
  • Schedule, prioritize, and coordinate internal and external meetings, including communicating relevant details to participants
  • Coordinate various team events and off sites, including details such as catering, entertainment, transportation, location, invitee list, equipment, etc.
  • Review and approve expense reports, ensuring accuracy and proper documentation
  • Review and distribute incoming correspondence, mail, packages, reports, etc.
  • Oversee travel arrangements and logistics for the executive team
  • Maintain trade association memberships and register attendees for events as needed.
  • Maintain a comprehensive inventory of office supplies and equipment
  • Develop and manage relationships with office-related vendors and suppliers, including negotiating agreements to secure cost effective solutions to office needs
  • Oversee and coordinate property maintenance and repairs
  • Assist with special projects as needed
Education and Skills Requirements
  • Associate or Bachelor degree preferred
  • Minimum of 5 years of experience in similar role supporting senior leadership
  • Demonstrated proficiency with Microsoft Office (Word, Excel, PowerPoint) and the ability to learn and work with internal software applications
  • Demonstrated ability to handle confidential information with discretion and professionalism
  • Strong analytical and interpersonal skills
  • Meticulous attention to detail
  • Excellent planning and time management skills
  • Strong written and verbal communication skills
Physical Requirements
  • Able to lift up to 25 lbs. occasionally
  • Able to bend, stand, walk, sit
  • Able to operate office equipment

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
