Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations. Responsibilities: With minimum direction and considerable latitude for independent judgment, performs routine and non-routine duties requiring highly advanced secretarial skills and proficiency for the head of an academic, medical service, business or comparable department. Is responsible for considerable departmental administrative details and duties requiring extensive experience with policies, procedures and practices of the University, or within a specific division, or in other demonstrated and related equivalent situations. In department business matters has frequent contacts with Deans, Directors, faculty members, students and other administrative staff. Is responsible for assignment and the review of the day-to-day clerical operations. SUPERVISION AND DIRECTION RECEIVED: Receives minimum direction from a Dean, Director, Division or Department Head, or Office Manager.Responsibilities POSITION SUMMARY: With minimal direction and considerable latitude for independent judgment, provides specialized clinical/administrative support to the Cytogenetics Laboratory by performing routine and non-routine duties requiring the use of advanced secretarial, organizational, and communication skills. Responsible for a significant amount of laboratory reporting, billing responsibilities and maintains a division data base. SUPERVISION AND DIRECTION RECEIVED: Under direct supervision of the Laboratory Supervisor and the Asst. Director for Cytogenetics MACHINES AND EQUIPMENT USED: Standard office equipment such as multi-feature ACD telephone, PC, copier, printer, fax machine, and the like. Software systems such as Laboratory Information System (LIS), Hospital Information System (HIS), and various customer services softwareapplications. JOB RESPONSIBILITIES: Position Summary: With minimal direction and considerable latitude for independent judgment, provide specialized clinical/administrative support to the Cytogenetics Laboratory by performing routine and non-routine duties requiring the use of advanced secretarial, organizational and computer skills. This position requires a significant amount of laboratory reporting, billing responsibilities and maintaining division data base system. Supervision and Direction Received: Under supervision and guidance of Division's Administrative Secretary and direct supervision of Laboratory Director. Typical Assignments and Responsibilities: - (25%) Primary responsibility is the typing of complex cytogenetic results and laboratory reporting. This requires multi-tasks with close attention to detail and must exercise excellent judgment with sensitivity to confidential laboratory results. - (25%) Entering and maintaining the primary division's database of laboratory specimens, which include patient information, testing results, statistical and quality assurance information. This database is used for multi-purposes to obtain data for publications, faculty/resident projects, and requested statistically information as needed. - (25%) Billing responsibilities include ICD-9 coding, entering insurance information and monitoring the overall review of accounts. This also includes: determine, enter or edit billing for additional testing/services after the completion of the analysis. Close attention to detail and complies with compliance guidelines are essential. - (15%) Provide faculty support to the Director and Associate Director of the Cytogenetic Laboratory which may include but not limited to: coordinating travel arrangements and processing of expense reimbursement, preparation and typing of manuscripts for publications, typing of correspondence or related material and preparation for presentations and meetings. - (5%) Maintain New York State chromosome registry of all abnormal cytogenetic laboratory results. - (5%) Provides back up coverage for Division's Administrative Secretary. Qualifications: Education: 2 years of post high school education in secretarial studies or a combination of formal training and experience. Experience: At least 3 years of secretarial and office experience, including 1 year in a position demonstrating the ability to multi-task and ability to work with detail-oriented tasks. Strong interpersonal skills and the ability to work well independently as well as with a team are essential. Technical: Advanced organizational and PC skills and required.
