Events Coordinator 1373124 A leading University is seeking an Events Coordinator - Data Science Center. The successful candidate will be responsible for the operational planning and execution of data science event activities. The ideal candidate has 3+ years of event management experience. The company offers a great work environment Events Coordinator Pay and Benefits: * Hourly pay: $28/hr * Worksite: Leading University (Stanford, CA 94305 - Onsite, Potential for hybrid later) * W2 Employment, Life, Retirement Savings Program, PSL * 20 hours/week, 6 Month Assignment Events Coordinator Responsibilities: * Manage the operational planning and execution of the event activities including the following successful: planning, management, execution, communications, financial reporting and event analytics and reporting. * Report to the Data Science Community Manager and work with all the staff, faculty, and event vendors (Video, event services, and external contractors). * Help plan and execute event activities for data science centers, and women in data science at the university that contribute to advancing the research agendas and community engagement goals. * Events may include: Informal networking gatherings, seminars, lectures, symposia, all-day conferences. * Help plan and manage logistics, including registration and attendee tracking, presentation and materials support, and pre-and post-event evaluations. * Coordinate vendor services. * Provide on-site event support. * May research and provide recommendations for potential event locations and evaluate alternatives. * Track invoices, manage receipts, and help manage event budgets, including helping with monthly budget reconciliation. Events Coordinator Qualifications: * 3+ years of event management experience. * A Bachelor's degree, preferably in a Marketing or Communications discipline. * A valid driver's license. Will be driving golf carts. * Marketing and communication background desired. * Excellent written and oral communication skills * Demonstrated success in planning events * Ability to manage shifting priorities and handle numerous time-sensitive projects with multiple deadlines * Ability to work independently and as part of a team * Ability in problem-solving, taking initiative, judgment ( even in the face of ambiguity), and decision-making * Excellent interpersonal, communication, time management, and customer service skills. Must be well-organized and detail-oriented * Knowledge of Microsoft Office Suite and other online documents, such as Google Docs. * Ability to interact with a broad spectrum of contributing groups and customers. * Enjoy working in teams with diverse backgrounds. * Event Portfolio: Either an event plan or run-of-show, event budget example (anonymized; no organization/company name), post-event email. * Growth mindset, including a comfort level with experimentation * Ability to solve problems and remove barriers. * Request Event Portfolio to be uploaded into a Google Drive: Events Coordinator - Data Science Center Shift: * 20 hours a week/onsite (potential for hybrid later). * 9 AM-4 PM, Monday to Thursday (may need to adjust depending on the event).
