Job Overview: The Inbound Traffic Coordinator is responsible for managing the inbound transportation and logistics operations of goods or materials arriving at a company's facilities. This role focuses on ensuring that all incoming shipments are processed efficiently, safely, and cost-effectively. The Inbound Traffic Coordinator coordinates with suppliers, freight carriers, warehouse teams, and customs officials to manage the timely arrival and proper handling of materials. Key Responsibilities: Inbound Shipment Coordination: Schedule and track incoming shipments, ensuring timely delivery of materials, products, or supplies to company warehouses or distribution centers. Communicate with suppliers and freight carriers to confirm shipment details, pickup schedules, and delivery timelines. Monitor transportation carriers to ensure timely arrivals and resolve any shipment delays, disruptions, or issues. Documentation and Compliance: Ensure that all necessary shipping documents, including bills of lading, packing lists, and invoices, are accurate and accompany shipments. Prepare and verify customs documentation (if applicable) for international shipments to ensure compliance with import/export regulations. Maintain records of inbound shipments and track discrepancies such as damages or shortages. Inventory Management Support: Coordinate with warehouse and inventory management teams to ensure that inbound goods are properly received, inspected, and stored. Monitor the flow of incoming materials to ensure inventory levels are maintained and replenished as needed. Ensure that incoming shipments match the purchase order and verify quantities, quality, and condition of products upon arrival. Carrier and Vendor Communication: Build and maintain relationships with carriers, freight forwarders, and third-party logistics providers to optimize transportation routes and costs. Negotiate freight terms and rates with carriers to ensure cost-effective transportation solutions. Provide ongoing communication and support to inbound suppliers, addressing any shipping or delivery concerns. Tracking and Reporting: Track and monitor the status of inbound shipments using transportation management systems (TMS) or software tools. Maintain up-to-date records of shipment arrivals, delays, and issues, providing regular reports to management. Troubleshoot and resolve issues related to shipping delays, damaged goods, or incorrect shipments. Problem Solving and Issue Resolution: Address and resolve issues related to damaged goods, shipment delays, and discrepancies in delivery. Coordinate with relevant parties, such as suppliers, carriers, and warehouse teams, to quickly resolve any challenges that may arise. Process Improvement and Optimization: Suggest improvements to optimize inbound logistics processes, reduce costs, and improve efficiency. Identify bottlenecks or inefficiencies in the inbound process and work with relevant teams to implement corrective actions. Safety and Quality Assurance: Ensure compliance with safety protocols during the handling of incoming goods. Verify the quality and condition of all incoming shipments and escalate any concerns regarding damaged or non-compliant goods.
