The lack of adequate, affordable housing further destabilizes economically-disadvantaged adults and families. CSR’s Housing and Stabilization Services staff is committed to addressing the needs of individuals and families struggling with homelessness, by providing permanent or temporary shelter along with food and clothing.

Our safe, secure and nurturing environments help families and individuals regain their self-esteem, develop life skills and financial independence, while remaining healthy and connected to their communities.

SUMMARY

The Administrative Assistant plays a crucial role in the Housing and Stabilization department. This full-time, on-site position from 9 am to 5 pm, Monday through Friday, focuses on creating a welcoming environment for families and visitors, maintaining an efficient office space for staff, and ensuring that data systems are updated with current information.

RESPONSIBILITIES:
• Create a welcoming, safe, and inviting environment for all staff, families, and visitors, ensuring cleanliness and orderliness.
• Professionally manage incoming phone calls and faxes in a timely manner.
• Sort, distribute, and prioritize important mail daily to ensure efficient communication.
• Welcome visitors warmly and maintain security protocols using a logbook.
• Ensure office supplies and equipment are well-stocked and in good working condition.
• Assist in managing shelter supplies, including stocking shelves and maintaining inventory.
• Keep data systems up to date by accurately entering updated information.
• Support departmental communication by sending reminders, necessary information, and updating information streams.
• Assist with program operations by arranging hotels and other necessary accommodations.
• Take the initiative to keep the department area clean and organized.
• Provide administrative support to hiring managers with hiring and onboarding new staff.
• Organize meetings, including scheduling, sending reminders, and coordinating catering when required.
• Efficiently manage all aspects of the reception area to ensure smooth operations.
• Perform additional tasks as required and assigned to contribute to the overall success of the team.

EDUCATION, EXPERIENCE AND SKILLS REQUIRED:
• Fluent in English; Spanish and/or Haitian Creole proficiency preferred.
• Reliable, punctual, and possess strong computer skills (Microsoft Office, data entry).
• Excellent written and verbal communication skills.
• Ability to work independently, prioritize tasks, and adapt to changing priorities.
• Strong organizational and planning abilities, with the capacity to build effective professional relationships.
• Skilled in de-escalation techniques and maintaining strong professional boundaries.
• Physically able to lift, climb stairs, and organize supplies.
