Records Specialist Supervisor

Location: HR-Criminal Justice Center, 14250 49th Street North, Clearwater, Florida 33762

Schedule: Monday - Friday, 8am to 5pm

ONLY PINELLAS COUNTY GOVERNMENT EMPLOYEES IN THE CLERK OF THE CIRCUIT COURTMAY APPLY

This position reports to Criminal Court Records. The Records Specialist Supervisor supervises employees assigned to Criminal Court Records. An employee in this class plans, assigns, monitors, and reviews the work of a moderate to large staff of subordinate lead worker(s) and clerical employees. Employees in this class are responsible for properly performing the department's assigned supervisory or technical activities per the Florida Statutes, Rules of Court, and regulations. Independent work decisions are made based on experience and knowledge of departmental operations, laws, rules, and regulations governing the Court/Board of County Commissioners.
What Would You Do?
  • Plans, assigns, monitors and reviews the work of lead worker(s) and clerical employees; evaluates and documents the performance of subordinate personnel;
  • Establishes goals and priorities for the work group while striving to minimize time and costs;
  • Directs the collection, receipt and disbursement of monies through a computerized cash register and/or a lock box operation;
  • May assist in opening, closing, balancing, verifying cash and preparing deposits;
  • Provides information and services to the general public, other related departments and/or attorneys to answer inquiries or resolve complaints;
  • Trains personnel in coordination with department management;
  • May receive and accept for filing, prepare index and certify various types of legal documents;
  • Works closely with staff to resolve the more complex problems and may fill in for subordinate staff as needed;
  • Processes payroll and staffing changes in OPUS;
  • Analyzes and resolves employee related issues/concerns;
  • Coaches and counsels employees;
  • Prepares weekly and monthly reports;
  • Documents, prepares, and conducts quarterly performance reviews of supervised staff utilizing Taleo.
  • Performs other related job duties as assigned.
What Do you Need To Have?

Education: Associate's Degree in Business Administration or a related field.

Experience: Supporting court-related information systems, systems administration, or case management systems with experience in computer information support.
  • 3 years' experience as described above; or
  • An Associate's degree as described above and one year of experience as described above; or
  • An equivalent combination of education, training and/or experience.
  • Assignment to work a variety of work schedules including compulsory work periods in special, emergency, and/or disaster situations.
Knowledge, Skills and Abilities
  • Knowledge of standard office practices, procedures, policies, personal computers, operating systems, and related software applications;
  • Knowledge of research techniques, methods, and procedures to develop best practices and resolve technical issues;
  • Knowledge of judicial processes, terms, and interactions;
  • Knowledge of Courts Division processes, positions, procedures, and systems;
  • Ability to communicate with tact, patience, and courtesy at all levels of the organization;
  • Ability to assist lower-level personnel with training in new technologies;
  • Ability to identify, troubleshoot, manage, and resolve complex problems;
  • Ability to understand the impacts of technical changes on existing processes;
  • Ability to establish and maintain effective working relationships with employees, other agencies, and the public;
  • Ability to work and make decisions under pressure and meet all deadlines, goals, and objectives as set forth.
