Job Summary:
The Receptionist will be the first point of contact for visitors and clients who visit and/or call the AI Squared office(s), while also managing office operations. This role includes responsibilities for front desk duties, office administration, and support for interior design or styling projects. Proficiency in social media is also required to help manage the company's online presence. The ideal candidate will be highly organized, possess strong interpersonal skills, and have a flair for design and presentation.
Duties & Responsibilities:
- Greet visitors and clients, ensuring a welcoming and professional reception area.
- Answer and direct phone calls, take messages, and handle general inquiries.
- Manage office supplies inventory, place orders, and ensure supplies are stocked and organized.
- Assist with the coordination of office events and meetings, including scheduling and preparing materials.
- Maintain office records and files, ensuring they are accurate and up-to-date.
- Support interior design and styling projects, including sourcing materials and assisting with setup.
- Manage and update the company's social media accounts, including creating and posting content.
- Assist with basic administrative tasks such as data entry, photocopying, and scanning documents.
- Ensure the office environment is clean, organized, and aesthetically pleasing.
- Provide support to the Office Manager and other departments as needed.
- Other duties as assigned.
- Strong organizational skills with a keen attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and basic office equipment.
- Experience in interior design, styling, or a related field is preferred.
- Proficiency in social media platforms (e.g., Instagram, Facebook, LinkedIn) and content creation.
- Ability to handle multiple tasks and prioritize effectively.
- Strong interpersonal skills and a professional demeanor.
- Ability to work independently and as part of a team.
- High school diploma or equivalent required; Associate's degree or certification in office administration, interior design, or a related field preferred.
- Previous experience in a receptionist or office manager role is desirable.
- Experience in social media management and content creation is a plus.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 25 pounds at times.
