JOB SUMMARY:
The Receptionist for the Administrative Office greets, assists, and provides direction and information to individuals, visitors, and other guests of the Agency. Answers Agency switchboard incoming calls, routes calls and delivers messages as appropriate, greets visitors, schedules administrative vehicles, rooms, and accommodations for meetings; receives, date stamps, and routes all incoming mail; provides clerical support including typing correspondence, confidential materials, reports, data entry, makes copies, and collates materials. Performs a variety of confidential administrative support duties and proper handling of confidential information.
ESSENTIAL FUNCTIONS:
- Serves as receptionist for the Administrative Office. Answers Agency switchboard, routes and delivers messages as appropriate; greets and directs visitors as needed. Monitors security cameras for building entrances. Maintain visitor log and issues visitor passes. Performs administrative and clerical support tasks.
- Accepts daily deliveries from various couriers and monitors status of package pick up to ensure packages are picked up and that there is no overflow. Receives, opens, date stamps and routes all incoming mail.
- Provides clerical support and data entry to include typing correspondence, and copies of confidential materials, reports and packets as directed.
- Maintains accurate phone directory for receptionist area.
- Provides initial review and prioritization of incoming correspondence for the Chief Executive Officer and Director of Executive Office Operations.
- Maintains the register of deposits into Agency financial accounts.
- Schedules administrative office meeting rooms and vehicles. Arranges for accommodation for meetings as requested organizing meetings rooms for meetings; updates and displays daily meeting schedule. Schedules administrative vehicle use and tracks maintenance needs of those vehicles; provides mileage records to Fleet Manager on a monthly basis.
- Maintains administrative collateral supply of flyers, brochures, packets, and assembly of program booklets.
OTHER DUTIES:
- Perform such other duties or special projects as assigned.
- Maintain front reception coverage schedule as directed.
- Allocate credit card receipts.
- Professional job conduct maintaining confidentiality of information (privileged or otherwise)

- Knowledge of general office procedures and office equipment.
- Ability to manage multiple tasks simultaneously with high efficiency
Minimum Requirements
EXPERIENCE/EDUCATION REQUIRED:
High school graduate or equivalent. Two to three years' experience in administrative/office setting.
