Job Summary:
As a Mailroom Associate, you will be responsible for efficiently managing the daily operations of the mailroom, including sorting, distributing, and processing incoming and outgoing mail and packages. You will play a key role in ensuring the timely and accurate delivery of materials across departments and maintaining the mailroom's functionality. This role requires strong organizational skills, attention to detail, and the ability to work independently in a fast-paced environment.
Essential Job Functions:
- Receive, sort, and distribute incoming mail and packages to appropriate departments or individuals in a timely manner.
- Process outgoing mail, including preparing shipments via USPS, FedEx, UPS, and other couriers, ensuring proper labeling and postage.
- Track and log incoming and outgoing packages, maintaining accurate records of all shipments.
- Manage interoffice mail, ensuring timely delivery between different departments or office locations.
- Operate mailroom equipment such as postage meters, scanners, copiers, and printers, ensuring proper usage and maintenance.
- Respond to inquiries related to mail or package status and provide assistance to employees with mail-related questions or requests.
- Maintain organization and cleanliness of the mailroom, ensuring supplies such as packaging materials and postage are adequately stocked.
- Handle confidential documents and packages securely and professionally.
- Coordinate with delivery services and vendors for special shipments and resolve any delivery or logistics issues.
- Perform general office duties and assist with special projects as needed, including document scanning, filing, and data entry.
Position Requirements/Experience/Education:
- High school diploma or equivalent; college degree preferred.
- 1-2 years of experience in a mailroom, shipping/receiving, or office services role within a corporate environment.
- Strong organizational and multitasking skills, with a high level of attention to detail.
- Excellent communication and interpersonal skills to interact effectively with internal and external contacts.
- Proficient in using mailroom equipment and basic office software (e.g., Microsoft Office).
- Ability to lift and move packages weighing up to 50 lbs.
- Capable of working independently and as part of a team in a fast-paced environment.
- Ability to maintain confidentiality and handle sensitive documents with care.
