Nature of Work: Under the direction of a Manager or above, assists in the design, development and implementation of departmental processes and/or programs. Recommends policies and procedures to ensure effective coordination of departmental programs. Business and Financial Operations Occupations

Typical Responsibilities: Coordinate the implementation and administration of departmental processes and/or programs. Ensure that university records are kept in accordance with federal, state and other governing regulations. Monitor, maintain, and provide ongoing analysis of finance or business operations. May act as principal financial or operational coordinator to the department. Reconcile expenditures of budgeted funds. Work collaboratively with university staff to ensure success of assigned area. May assist in the preparation & delivery of workshops and training programs. Interpret departmental policies for area of responsibility. During declared campus emergencies, this position may be required to perform specific job related duties at a designated off campus location or place of residence.

Required Qualifications: This position requires either (a) Master's degree from an acceptable accredited institution in a directly related area of specialization ; (b) Bachelor's degree from an acceptable accredited institution in a directly related area of specialization and two years of experience directly related to the job functions; or (c ) 6 years of direct experience.

General Description / Primary Purpose:

The Coordinator Budgets, under the direction of an Assistant Director or above, assists in the design, development and implementation of departmental processes and/or programs. Recommends policies and procedures to ensure effective coordination of departmental programs.

Job Function:

Manage a variety of state-funded, fee-funded, and tuition funded auxiliary budgets for the unit and for online programs; ensure that budgetary obligations are met, perform budget forecasting, ensure budgetary compliance with state and university policies and procedures, and oversee implementation of the budget in the day to day operation of the unit and online programming. Compile annual budget requests, manage annual budget development, and provide periodic budget reports and analyses. Coordinate the administrative functions of the Office of Digital Learning & Innovation and the Center for Instruction and Research Technology by planning, initiating, and carrying to completion a variety of administrative activities and projects. Maintain records and files regarding administrative activities of the unit.

Marginal Functions:

Responsible for supervision of support staff. Provide back-up on financial transactions and budgetary obligations in the absence of the Office Assistant. Assist with general office duties in the absence of the Office Assistant, including but not limited to, maintaining various departmental records, organizing files, errands, copying, greeting visitors or answering phones. Research/compile background data relative to distance education, academic tech, etc. During declared campus emergencies, this position may be required to perform specific job related duties at a designated off campus location or place of residence.

Departmental Requirements:

Experience with managing and analyzing large or multiple budgets. Experience with supervision of staff. Experience with managing multiple projects. Experience in higher education and with Banner Financial Systems. Excellent interpersonal and communication skills.

General supervision. The incumbent develops procedures for performing a variety of complex duties within established guidelines; has considerable freedom while the work is in process and receives instructions on new assignments.

Level of Public Contact:

This position has daily contract internally with University and departmental administrators and externally with vendors and other entities as required.

Monetary Responsibility:

This position assists with the proper financial reporting and processing of funds in excess of $9 million dollars annually.

Policy-making and/or Interpretation:

Follows established policies relating to fiscal management and administration. Makes recommendations on fiscal policies and procedures for the unit. Monitors budgetary activity to ensure compliance on all fiscal policies. Interprets policy and makes recommendations on personnel procedures. Assists in the preparation and administration of contracts.

Program Direction and Development:

This position advises the Asst. VP on University budgetary policies to ensure compliance. In addition, this position plays a major role in budget development for EG, Aux, and Foundation budgets under Digital Learning.

Statement of Responsibility for Confidential Data:

The person in this position is responsible for maintaining confidentiality of personnel information. Also has access to reports that include student enrollment data.
