Job Summary
Serve as a generalist, providing academic advising and coaching to all first-year students for registration, orientation, course selection, and degree progression towards graduation requirements. Serves as the primary resource, mentor, and consultant for students regarding all aspects of their educational development, career planning, and personal growth. Monitors and assists in guiding student progress, provides referrals to other university departments for services, and engages students as necessary to meet their individual needs.
Serve as the primary advisor for all Rise Academy first-year students, assisting with summer and Fall cohort registration, as well as Fall and Spring course selection. Assists in university wide and other associated activities regarding the recruitment of students, such as New Student Orientation and Cougar Days (Open House). Provides guidance to students regarding other subsidiary programs (e.g., admissions requirements, international programs, study abroad, or non-traditional degree and adult education programs) offered by both university and external sources and performs associated outreach functions to internal and external constituencies. Ensures that students are provided information and accessibility to university resources and programs that will assist them in being successful during their college education/experience. These employees work under general supervision.
This position is housed within the Office of Academic Support, reporting to the Director of Undergraduate Academic Advising and Student Support. The Director of Undergraduate Academic Advising and Student Support reports to the Dean of Student Success who serves under the leadership of the Interim Provost and Senior Vice-President of Academic and Student Affairs. This position is in the Department of Student Success within the Division of Student Affairs.
Job Description
- Provides academic program-specific advisement to all first-year students, including Rise Academy and Hope Scholars, regarding course requirements and academic progress.
- Serve as the primary mentor and coach to all first-year students.
- Assists students with course selection and sequencing.
- Foster relationships with all professional and faculty advisors to create a soft hand-off after the student's first year.
- Work with Sophomore Academy to create a soft hand-off for Rise Academy participants to continue receiving additional social and academic support.
- Determines eligibility and satisfactory progress toward degree completion and communicates academic progress and findings to university administration to ensure compliance with financial aid, global engagement, and athletic requirements.
- Develops individual student action plans to achieve academic goals, career objectives, and personal growth.
- Assists students with academic petitions.
- Maintains and manages student academic files in accordance with recognized protocols, policies, and regulations applicable for FERPA, Title IX, etc.
- Effectively uses institutional technological systems such as EAB- Navigate 360, Banner, CAPP, Early Alert Warning Systems, and other web-based software.
- Proactively and collaboratively work with faculty members, financial aid advisors, and students to develop plans of action around the Early Alerts notifications.
- Provides referral services for students to appropriate campus resources for assistance, study skills, tutoring, counseling, wellness, student engagement, etc.
- Develops and coordinates student recruitment activities, including attending college day/night programs; college fairs; and high school visits.
- Provides academic program-specific advisement to students regarding admissions policies/procedures and general academic program requirements; describes courses; and disseminates information regarding registration procedures.
- Works collaboratively with the Offices of Admissions, Financial Aid, Registrar and Rise Academy to engage new students in the enrollment and registration process.
- Works collaboratively with other members of the Division of Student Affairs to ensure timely and holistic advising and support is made available to students.
- Provide information and/or make referrals regarding financial assistance, student employment opportunities, and scholarships available in the university.
- Make referrals to the Career Development Center to advise students on career pathways and employment opportunities in their chosen field of study.
- Prepares and produces statistical reports and other formal records in accordance with applicable laws and procedures.
- Reviews and recommends record management and other academic processing procedures.
- Maintains comprehensive advising notes for student interactions.
- Produces timely reports in accordance with university and NACADA standards.
- Attends all academic advisor training and workshops as assigned.
- Participates in admitted and enrolled students' events such as Admitted Student Days; New Student Orientations; Rise Academy Orientation; and Welcome Week activities.
- Performs other related duties as assigned.
- Bachelor's degree.
- Proficiency with MS Office (Word, Excel, PowerPoint, etc.).
- Demonstrated work experience in the area of academic advising or related field.
- Experience working with diverse student populations.
- Customer and Personal Service - Knowledge of principles and processes for providing quality educational advising services. This includes student needs assessment, meeting quality standards for services, and evaluation of student satisfaction.
- Administration and Management - Knowledge of business and management principles involved in the presentation and delivery of academic programs, strategic planning, resource allocation, leadership techniques, recruitment methods, and coordination of people resources.
- Active Listening - Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
- Critical Thinking - Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
- Knowledge of educational, evaluation, and measurement principles, practices, methods and techniques, university policies and procedures.
- Speaking - Talking to others to convey information effectively; ability to develop a rapport with students.
- Written Expression - The ability to communicate information and ideas in writing so others will understand.
- Ability to establish effective working relationships with students, faculty, and staff.
- University or college level advising experience.
- Excellent oral and written communication skills.
- Knowledge of computer technology and software applications in order to process registrations, enrollments, and track student progress.
- Ability to deal extensively and effectively with a wide variety of individuals using excellent interpersonal, listening and communication skills in order to advise students with respect to their academic goals.
