Location: Northfield, VT Category: Staff Posted On: Thu Nov 14 2024 Job Description: Fulfills the mission of Norwich University by conceiving, executing, and evaluating the Stewardship and Donor Relations program in Development and Alumni Relations (DAR). This includes supervising two Assistant Director roles; one who oversees all activities related to the Partridge Society (PS) (Norwich's recognition society for top donors), and the other who oversees all activities related to endowed scholarships. Additionally, this role develops the vision behind the thank you process for 500+ students to their scholarship donors; reporting (including restricted funds and year-end giving statements); managing acknowledgement letters; and coordinating naming opportunities and dedications. Essential Functions Manages the Partridge Society Board. Serves as the Executive Secretary to the Partridge Society Board of Directors. Plans and executes (in conjunction with the Board's event committee) Partridge Society events such as the Homecoming cocktail party and coffee lounge. Engages with alumni regularly to communicate about the Partridge Society, membership levels, and provide giving histories and other donor information. Oversees the mailing of notification letters; manage recognition at events; collaborate with the Partridge Society Board, etc. Oversees endowed scholarships: endowed scholarship reporting; project-manage and execute the student "thank you" process, which results in more than five hundred thank you profiles/letters from student scholarship recipients to their donors; execute scholarship-related events including: Coordinates dinners at the President's house for select student scholarship recipient to include the Annual Scholarship Luncheon/Dinner. Serves as visionary behind the Scholarship "thank you" process that the Assistant Director of Stewardship manages and executes. Provides project-management guidance to Assistant Director in organizing and executing a process that results in thank you profiles/letters from students. Offers creative direction/feedback and ensure the process is on track and "thank you" letters are mailed by the established deadline. Leads reporting efforts for Restricted Funds reporting; biannual sharing of fund status for departments. Makes recommendations to Vice President of Development and Restricted Fund owners on how to use unspent funds. Provides training to empower faculty and staff to read reports and understand their funds and where to go when they want money spent. Produces and mails year-end giving statements to Partridge Society members. Co-produces a procedures/operations manual to pull information from Raiser's Edge and document related processes. Manages the addition of donor names to Annual Report. Oversees the acknowledgement letter process: regularly update templates under the signatures of university leadership to recognize donor giving in meaningful, time-sensitive, and customized letters. Collaborates with Advancement Services (AS) and DAR leadership to ensure successful mailing of letters. Manages naming opportunities, dedication events, and coordinate the production of recognition pieces such as plaques, benches, Upper Parade Bricks. Assists with planning and staffing Homecoming events, DAR, and university-wide initiatives. Other Functions Assesses the performance of direct reports and provides frequent feedback to optimize their performance. Maintains confidentiality of sensitive or private information. Communicates with employees, students, and others in a respectful and clear manner. Serves on University committees, councils, workgroups, or other designated bodies as assigned. Achieves, maintains proficiency in, and utilizes computers, telephones, and other job-related equipment, including related systems and software. Speaks, reads, and writes in English. Communicates by telephone, email, letter, in person, or other means or device. Performs other tasks as assigned by supervisor. Job Requirements: Bachelor's degree required. 7 years of related work experience. Superb writing skills; attention to detail, clear and concise writing, and an ability to appreciate the unique voices of university leadership. Aptitude for creating and executing stewardship plans that recognize donors in personalized, high touch methods. Experience in personnel management/leading successful teams. Strong project management skills. Track record of exceptional customer service. Maintains confidentiality of sensitive or private information. Communicates with employees, students, and others in a respectful and clear manner. Ability to work at a fast pace with unscheduled interruptions. Ability to balance competing demands in a deadline-driven environment. Experience with Raisers Edge, Ellucian, or similar software preferred. Proficiency in MS Office (Word, Excel, SharePoint, Teams, and Outlook). Strong computing and technical skills, including familiarity with a networked environment, relational databases, and other applications. Knowledge of Norwich University's history, environment, and academic culture. Able to sit, squat, reach, push, pull, and manipulate related equipment; lift up to 15 pounds; travel outdoors to various parts of the campus. Work some evening or weekend hours as needed. Travel as needed (public or private transportation). Environmental Conditions Indoor work at a computer workstation. Low level of exposure to noise, dust, fumes, vibrations, and temperature changes.
