JOB SUMMARY

Ventures Events is looking for a Customer Relationship Event Specialist. This position is responsible for providing the Ventures Events division with organizational sales and account support relating to exhibitors and other departmental needs. Responsibilities of this role include but are not limited to client communication, office support, finance liaison, managing show office at live events. Candidates must have excellent oral and written communication skills, excellent problem-solving aptitude, proficient math skills, and must be self-motivated and able to work with minimal direct supervision. Performing a variety of tasks with a wide degree of creativity and latitude is expected.

Consumer shows and event marketing is a fast-growing niche because clients who participate see immediate and lasting results. Some college or a four-year college degree preferred. Suitable work experience can be a substitute. Proven work experience will be valued. Must be familiar with Microsoft Office (Word, Excel, PowerPoint) and have the ability to learn new software programs quickly through self-study.

ESSENTIAL JOB FUNCTIONS

Support the Ventures Events division with sales and account support relating to exhibitors and other departmental needs, including but not limited to:

Exhibitor Communication . Support the sale and after sale work of Event/Exhibit Sales Representatives to assure that exhibitors receive timely communication and understand deadlines and requirements to exhibit at the show. Includes such tasks as preparing exhibitor kits, tracking prizes, assuring receipt of certificates of insurance, assigning exhibitors to correct categories, providing W9 forms as requested, manage show office during events, coordinate on-site check distribution, and other support as needed.

Customer Relationships . Assist event managers, account executives, sales leaders and marketing in developing and maintaining long-term relationships with a portfolio of clients. Liaise between cross-functional internal teams when needed to ensure timely and successful delivery of solutions.

Finance Liaison . Serve as the department interface with finance for all exhibitor and sponsor transactions. Includes such tasks as balancing accounts, coding department expenses, handle special payments, reconcile show expenses, track prepaid cards, update rates for booths.

Office Support . Provide general office support, including supplies, invoice and expense report coding/submission, organization and filing of contracts and invoices, payroll.

Shows . Work as part of the show team, set up the show office, staff office to provide customer service to exhibitors and others, and other duties as assigned during the show during a pre-assigned work schedule.

OTHER JOB FUNCTIONS AND REQUIREMENTS

Provide other organizational support for the department and perform duties as assigned.

Excellent oral and written communication skills, and excellent problem-solving aptitude, and proficient math skills.

Must be highly organized, able to juggle multiple tasks at the same time and work quickly and accurately, especially with numbers.

Self-motivated and able to thrive in a results-driven environment.

Ability to prioritize among competing tasks.

Ability to think strategically and operationally.

Fostering and participating in a teamwork focused environment

Protect and represent Ventures Events character and integrity with the highest level of professionalism as an event industry leader.

Exercise personal intellectual discretion and judgement with very little oversight.

Necessary to be a self-initiator with the ability to manage time and schedules both at home and on the road.

Excellent problem-solving skills and the ability to think outside of the box are essential.

Some travel may be required.

Knowledge of Ventures events is a plus.

EDUCATION

Some college or a four-year college degree preferred. Suitable work experience can be a substitute.

EXPERIENCE

Two years work experience preferred. Must be familiar with Microsoft Office (Word, Excel, PowerPoint) and have the ability to learn new software programs quickly through self-study.
