We are growing rapidly and expanding our services across multiple states while maintaining a supportive, warm, and compassionate environment where children and their families are at the heart of everything we do.Position SummaryThe Client Care Coordinator plays a crucial role in maintaining seamless communication and coordination between families, providers, and various internal departments. This position is responsible for managing scheduling, coordinating client and provider transitions, and optimizing service utilization. With a focus on efficiency and client satisfaction, the Client Coordination Specialist will be a central point of contact for clients, ensuring their needs are met in alignment with our mission to provide quality services.ResponsibilitiesMaintain clear and consistent communication with clients regarding their service needs and schedules.Manage scheduling processes, including updates, maintenance, and removals, ensuring smooth coordination between clients and service providers.Oversee client and provider transitions, including the termination of services when necessary.Act as the primary administrator for the CR Client Portal, managing access and updates.Optimize service utilization and coordinate RA (Reassessment) processes.Work with the Intake, Authorization, and Scheduling teams, collaborating closely with BCBAs and other key team members.Liaise with the HR team as needed to handle minor HR administrative tasks related to removals, issuesSuccess MeasurementsWithin 30 days: Achieve a full understanding of role responsibilities, tools (CR and PBI), and the overall company vision.Within 60 days: Begin managing caseload, scheduling updates, and client-provider transitions.Within 90 days: Fully own the role, optimizing service utilization and ensuring client satisfaction is consistently above 90%.Within 1 year: Reduce RA coordination timelines and improve scheduling efficiency while maintaining high levels of client satisfaction.RequirementsProven experience in ABA (Applied Behavior Analysis) coordination, preferably within a healthcare or therapy environment.Strong skills in Central Reach software and proficiency in GSuite and PowerBI.Excellent organizational and problem-solving skills with the ability to multitask and prioritize effectively.Strong communication skills and a proactive, independent approach to managing tasks.Ability to collaborate with multiple departments and maintain professionalism in all interactions.Perks & BenefitsComprehensive health benefits, including medical, dental, and vision coverage.15 days of Paid Time Off (PTO), allowing flexibility for personal and family needs.10 floating holidays annually.Opportunity to work in a hybrid model (4 days in-office, 1 day from home), providing flexibility and balance.Career growth opportunities within a rapidly expanding organization.Equal Employment OpportunityKids First Services is an equal-opportunity employer.
